Job Description

Position: Warranty AdministratorType: Fulltime Location: Surrey, BC.Work Schedule: Monday to FridayOpportunityFirst Truck Centre, doing business as Velocity Truck Centres, has an exciting opening for a Warranty Administrator at our Surrey, BC. dealership. Duties and Responsibilities
  • Excel Spreadsheet Preparationamp; Data Mining.
  • Reviewing Metrics and Key Performance Indicator tracking (KPI #39;s).
  • Coachingamp; Training Service team members on warranty concepts and applications.
  • Vendor and VVG Training, Policies and Standard Operating Procedures; including safety standards.
Administration
  • Organize, process, review, and follow up on warranty claims with a one-touch approach, efficiently through completion within a reasonable time frame for multiple manufacturers.
  • Ensure claim legitimacy and adherence to Warranty agreements and company policy.
  • Compiles all warranty paperwork to ensure proper documentation is retained for audit.
  • Reconciles all warranty receivables with payments through the appropriate accounting schedule and follows up on all unpaid receivables.
  • Reconcile credits to be loaded into the dealer management system.
  • Resubmits all rejected claims promptly or receives authorization to write off.
  • Follow up and negotiate with vendors for fair and reasonable payment of outstanding claims.
  • Ensures proper training so all required parts are tagged with mandatory OEM required information and shipped or scrapped accordingly.
Customer Service
  • Review new warranty letters/programs/my communications and distribute accordingly in a timely manner.
  • Provide updates to service staff of all OEM recalls and bulletins.
  • Review Work Queue Summary daily:
    • Approved,
    • Corrections Needed,
    • Draft,
    • Ready to submit,
  • Attend webinars, service huddles and meetings with other departments as required.
  • Manage warranty process from start to finish, ensure audit compliance and timely payments.
  • Work with service team to identify OFIs (opportunities for improvement) and correct them.
Required Qualifications
  • A minimum of 2 years related experience working in a dealership, preferably within service or warranty.
  • Understanding of products and services necessary to perform duties and tasks as a Warranty Administrator
  • Strong knowledge of concepts and practices of warranty claim management
  • Excellent office administrative skills with proficiency in the use of computers, computer applications (e.g. Excel, Word, Outlook), and industry specific software
  • Detail oriented and possess sound problem solving and decision-making skills.
  • Excellent customer service, communication, and interpersonal skills, both verbal and written
  • Ability to organize and prioritize work assignments simultaneously and meet critical time requirements in a fast-paced environment.
  • Ability to utilize instructions and documentation.
Asset Qualifications
  • Post secondary education or training in a related discipline.
  • Basic knowledge of or quickly acquire the ability to identify automotive/truck parts and components.
  • Relevant Mechanical trade qualifications or technical aptitude
