The GCI Document Controller is responsible for the tracking and maintenance of project documents. This position ensures that accurate information is organized, tracked, stored, submitted, and distributed to the appropriate people &/or companies on a timely basis. In this role you will be a direct support for Project Managers and a main point of contact for those involved in the projects. As the GCI Document Controller, you will work along side clients, project managers, engineers, drafters, sub-contractors, QAQC, Safety & HR, Project Foremen, Accounting departments and other Document Control departments. This makes it essential that the GCI Document Controller is a strong team player that consistently exhibits a positive, professional attitude. Possessing strong verbal and written communication skills, an attention to detail, excellent organizational skills and proficiency in time management are fundamental skillset components necessary for this position. Responsibilities: · Manage the flow of documentation within the organization * Maintain confidentiality around sensitive information and terms of agreement * Prepare ad-hoc reports on projects as needed * Control company and project documentation * Adhere to GCI document control procedures * Streamline and improve GCI document control procedures * Streamline and improve flow of project documents, information, and communication * Ensure adherence to GCI document control procedure and communication flow by project team members * Ensuring all documentation meets formal requirements and required standards * Sorting, storing, and retrieving electronic and hard copy documents on behalf of clients and project team members * Check for accuracy and edit files * Review and update technical documents * Distribute project-related copies to internal teams * File documents in physical and digital records * Create templates for future use * Retrieve files as requested by employees and clients * Produce document progress reports for project managers * Conduct regular reviews and document audits * Utilize document control software for the management of all project documents * Helping in the planning stages of a specific project * Ensure documents are shared at key times as per project schedule and project contract to facilitate timely project start and completion * Understand project documents and aid in the creation of project documentation * Aid in the compilation of ITP and ITP related documents as per project requirements * Communicate QAQC document requirements as per Project requirements * Understand and lead in the compilation of required documents as per the project VDR / SDDR * Create and manage the compilation of mud books, turnover packages and all client requested project documents * Support and organize all areas of project documentation for each project * Create systems to manage company documents * Ensure that all documents are up to date * Train project team members on how to use and access the documents * Develop procedures so that they are standardized company wide * Communicate, support, and collaborate with project managers * Familiar with the use and understanding of VDR codes, document and drawing revisions, document stamps and various other document control stages * Ability to use initiative to work independently and ahead of project schedule requirements * Ability to take meeting minutes when needed and distribute as per required * Exercise integrity and confidentiality in financial reporting Required Skills: * Extensive experience in MS Office suite, SharePoint platforms and document control applications * Ability to analyze data and come to conclusions * Very Detail Oriented * Excellent Organization and time management skills * Excellent Communication skills, both written and verbal * Show initiative and work independently with little guidance * Work well under pressure and with deadlines * Ability to keep company and partner confidences; maintain GCI financial and business-related information private and confidentialJob Type: Full-timeSalary: $23.00-$25.00 per hourBenefits:
