Job Description

Summary:XTL is looking for a highly motivated, well-rounded individual who can demonstrate their potential to:

  • Be the primary point of contact for all drivers. The Driver Coordinator is responsible for improving and maintaining good labor relations with drivers and to resolve any conflicts or concerns raised by their assigned driver force.
  • The Driver Coordinator will be responsible for monitoring productivity and identifying and making recommendations for areas in which the company can improve the effectiveness of the fleet and the success of our Driving Force.
  • The Driver Coordinator will be involved in guiding new driver hires in the operational components necessary to succeed at XTL. They will also follow their progress to ensure success is realized.
  • The Driver Coordinator will be responsible for the drivers’ performance and focus on and improving driver retention, communication and relaying areas for improvement with the support of the Operations Supervisor and Assistant Terminal Manager.
  • A successful candidate will be experienced with operations, be a strong communicator and be solutions focused. They will be self-starters that are organized and great at prioritizing and reprioritizing at a moment’s notice.
Responsibilities:1. All Drivers
  • Touch base with drivers in person, via phone, and email
  • Ensure the service expectations of loads assigned to their fleet are met
  • Act as a liaison between the drivers on the road and internal stakeholders (customer service and sales teams, safety, planning/logistics, etc.)
  • Help drivers ensure on-time pickup and delivery service by relaying routing recommendations, providing training where necessary and various other activities.
  • Address driver concerns in a timely manner to ensure their needs are thoroughly met.
2. Driver OrientationThe Driver Coordinator will be held accountable for ensuring new hires are equipped with the necessary knowledge and resources to begin a successful career at XTL.
  • Provide formal orientation on day to day operations and company policies and procedures
  • Work with our recruiting and safety teams locally and in other terminals to ensure the Driver Handbook is current, accurate and consistent
  • Work with recruiting and safety teams to assess level of need and suitability in conjunction with assigning an appropriate mentor
3. Driver Evaluationamp; PerformanceThe Driver Coordinator will work with the Operations supervisor to create and follow up on improvement plans created for the drivers
  • Monitor the performance of their assigned fleet of drivers/trucks and execute periodic evaluations of each via ride along
  • Lead, coach, develop and provide feedback to assigned fleet of drivers through verbal and written communications
  • Driver related service failures - investigate, interview coach and educate drivers when service failures arise
Measureamp; Report
  • Conduct 30/60/90/365 day reviews, capture and communicate issues of concern as well as successes
  • Ensure all conversations are well documented in XTL #39;s internal Driver Communication Data Base
4. Driver RetentionThe Driver Coordinator is responsible for handling all inquiries, concerns or complaints of the drivers with the support of the Operations Supervisor and Assistant Terminal Manager. Will work with various departments in finding resolution for each.
  • Promote open-door policy
  • Create a relationship of trust and respect with drivers and internal departments at XTL
  • Participate and bring solutions to driver meetings with operations and safety
  • Responsible for the recognition program in concert with operations and safety teams
  • Perform exit interviews (determine underlying concerns and root cause for termination) along with the Operations Supervisor and Assistant Terminal Manager
Measureamp; Report:
  • Qualifications for driver acknowledgments (i.e. award eligibility)
  • Work towards/maintain a 90% success rating on driver retention
5. ProductivityThe Driver Coordinator will work to increase productivity of the drivers, maximize driver utilization of their hours, reduce waiting time, and identify obstacles in the way of the driver from achieving the above goals. They will do this while maintaining a strong relationship with the driver, balancing the drivers needs along with the company #39;s needs
  • Identify opportunities for improvement
  • Prepare KPI numbers for weekly fleet performance reports to Managers from Operations and HR
  • Work closely with Operation and Customer Service manager to align power with Volume and Service objectives
  • Issue discipline in accordance with department policies in collaboration with the Operations Managers and Human Resources Department
  • Maintain a strong relationship with the driver, balancing the drivers needs along with the company #39;s needs
  • Follow up with drivers for improvements
Measureamp; Report:
  • Earnings in relations to miles driven and hours worked;
  • Wasted time events;
  • Minimum miles per week per highway driveramp; minimum hours/week for hourly paid drivers
6. Respect of policies, programs, procedures and practicesThe Driver Coordinator will apply dispatch rules according to company programs, procedures, policies, bid regulations, DOTamp; HOS legislation.
  • Report any disciplinary issuesamp; course of action taken to the Operation Supervisor
  • Monitor performance and identify gaps causing preventable service failures
  • Approve all trip sheets for city drivers
  • Approve pay for all other drivers working locally)
  • Monitor cost (i.e. O/T)
7. Other Daily Task
  • Track and Trace drivers for on time service.
  • Monitor Roadamp; Weather Conditions, keeping Driversamp; Driver Managers Informed
  • Work with dispatch to ensure that any trip delays are Communicated to Customer Service in a timely fashion
  • Review night notes, address any issues pertaining to your Fleet
  • Review Drivers hours for past week to ensure hours are being used correctlyamp; paid correctly
  • Provide feedback to Driver schedules/Bids/Vacations
  • Communicate work shortages and needs to Customers Service/Management
  • Coach Drivers on Satellite Errors so they understand where they went wrong and how they can be fixed to not cause future errors
  • Communicate Work Shortagesamp; staffing needs to HR and Management
  • Other duties as assigned by Management

  • This Position will be full time in office.

  • Ability to work in a team atmosphere with minimal supervision
