WHERE YOU COME IN Reporting to the Director, Volunteer Engagement, the Volunteer Intake Coordinator is responsible for supporting innovative strategies that transform the experience of wish children and their families at Make-A-Wish Canada through the provision of exemplary volunteer services. In this role, you will assume responsibility for all activities relating to the recruitment and onboarding of volunteers. You will also work with regional Volunteer Engagement Coordinators to identify the recruitment needs for volunteers across the organization, and manage the application process, including recruitment posts, pre-screening and selection, interviews, and follow-up. This role can be based out of any Make-A-Wish office in Canada, and is a full-time, permanent, hybrid position. WHAT YOU WILL DO RECRUITMENT AND INTAKE 70% Lead all stages of the recruitment process, including identifying required talent, posting of positions, screening/scoring candidates, and selection of candidates. Manage recruitment correspondence for all MAWREC regions including answering calls, voicemails and emails, and web inquiries from prospective volunteers. Provide timely and effective communication (written, oral, etc.) to volunteers and other stakeholders. Manage recruitment targets and identify priority placements in consultation with Regional Volunteer Engagement Coordinators on region-specific needs, ensuring recruitment plans are developed and followed. Act as a talent scout and brand ambassador organization-wide, providing interested candidates information on potential opportunities within MAWREC and requirements. Work with Volunteer Engagement team to strategize and develop recruitment plans and create marketing materials for targeted recruitment efforts. Actively lead the volunteer onboarding process including interviews, background checks, reference checks, vaccination status checks, confidentiality agreements. Conduct orientation sessions and provide training to new volunteers, ensuring they are familiar with our organization #39;s mission, values, and policies. Ensure the application of a fair and equitable process throughout the recruitment and selection process that complies with all legislative requirements and restrictions. Ability to manage multiple interview processes simultaneously and prioritize tasks effectively. Attend recruitment fairs as required. Ensure accuracy of submitted documentation and recording of such in the internal database (Salesforce). Continuously evaluate and improve the volunteer intake process to enhance efficiency and volunteer satisfaction DAY-TO-OPERATIONS 30% Manage volunteer records during the onboarding process and ensure they are up to date and accurate before being shared with regional Volunteer Engagement Coordinator. Assist with the development and facilitation of volunteer trainings on an as needed basis. Work with the Director, Volunteer Engagement and colleagues across the country to provide feedback and best practices to ensure the development of best-in-class volunteer program. Attend regular meetings with stakeholder colleagues and attends events and wishes, where required, to ensure successful execution of the program. Collect, maintain and report monthly vacancy/turnover rates and other recruitment data related to each site and program. Provide assistance on large scale initiatives such as conducting engagement surveys and planning of recognition activities and events. Provide assistance to Regional Volunteer Engagement Coordinators with regional initiatives including event recruitment, scheduling and on the ground support when required. Other duties as assigned. WHAT YOU BRING Post secondary education in the Volunteer Management or Human Resources fields, or an equivalent combination of education, training and experience. 2+ years of work experience within the non-profit sector, volunteer management focused preferred. Experience in leading the volunteer recruitment cycle, posting, screening and onboarding candidates. Experience in utilizing various interview techniques, such as behavioral and situational questioning. Demonstrated experience in leading facilitated sessions for volunteers, including orientations. Ability to communicate effectively with a diverse workforce and community. Ability to work with highly confidential information. Excellent computer and administrative skills, including report writing and proficiency in Microsoft Office applications. Familiarity with local community agencies and resources would be an asset. Bilingualism (English and French) is considered an asset. Access to reliable transportation to and from work, as well as for wish reveals, wishes, and occasional events within the community. A clear Criminal Background Check is required. Fully vaccinated against COVID-19 at least 14 days prior to their first day of work, subject to relevant accommodations or exemptions. YOUR WORK ENVIRONMENT Hybrid work environment (2 days in-office, 3 days remote per week) with occasional requirements to work outside of regular office hours during peak season. Primary responsibilities are carried out in Chapter Office and at home, however you may be regularly required to be out of the office for outdoor and indoor events in the community. Requirements to work outside of regular office hours to facilitate orientations and events on occasion. Some day/overnight travel may be required. Physical/Mental Effort Works under pressure at peak times of the year with tight deadlines, high volume workload, and with changing and overlapping priorities.
