This person would be responsible for helping lead and coordinate the above wing and below the wing experience for Executive Aviation’s team at the Saskatoon International Airport (YXE) base.The ideal candidate would have fantastic people skills, office administrative skills, and an uncanny ability to make things happen. This position would require you to schedule our team of Customer Service Agents, Below the Wing team, logistically plan and order supplies, as well as supporting our local General Manager.This role reports to the local General Manager and should be triggered to help alleviate the administrative responsibilities from the base leader.   • Based on the budget and GM or SM feedback, create efficient Team Member work schedules for above and below wing operations
  • Complete schedule related administrative tasks, including; updating Payworks, ensuring Coordinators are able to assign duties to Team Members on shift
  • Maintain billable information accurately in SharePoint and Vortex to ensure all services can be billed in a timely manner
  • Liaise with airline or contract personnel to reconcile billable services, glycol fluid, and other inventory or account related items
  • Ensure Coordinators flight log information has been accurately captured, completing any ‘out of scope’ documentation as needed
  • Approve bi-weekly payroll timecards and provide additional administration support through Payworks
  • In cooperation with Team Experience, assist with change forms for milestone, status or positional changes
  • Ensure Coordinators de-ice inventory, logs, and winter documentation is updated accurately
  • In collaboration with base leadership, analyze and examine key performance indicators related to Team Member schedules and flight schedules
  • Own the inventory and asset management process for office supplies, grooming supplies, uniform, airport passes etc.
  • In collaboration with base leadership, participate in the forecasting/ hiring needs decisions, participating in the full recruitment process and ensuring notes and documents are uploaded to JazzHR
  • Working with the local leadership team, assisting with the onboarding of new Team Members, including; meeting with them, ensuring appointments have been set up, Welcome packages set up and delivered
  • Other duties as assigned
Qualifications
  • 2 years’ Counter Agent experience, with gradual increase in responsibilities is an asset
  • A RAIC/ Security Clearance pass
  • Strong customer service skills
  • Great attention to detail
  • Great organization skills and the ability to multitask
  • Previous experience managing/ building a schedule would be an asset
