Job DescriptionThe Administrative Assistant plays a vital role in providing administrative support to the Development Enforcement Officers and the Permitting, Inspections and Customer Service branch. This role is the first point of contact for internal/external stakeholders and tracks/receives Land Use Bylaw complaints, therefore it is essential to keep information well organized and be available to staff. Duties must be performed in a timely manner to accommodate appropriate follow up, responses and enforcement action as required.ResponsibilitiesProvide administrative assistance to Development Enforcement Officers including drafting and distributing correspondence, data collection, file retrieval/filing, case support including Preparing Caveats and Discharge of Caveats, tracking & ensuring final execution in land file & POSSE, and customer assistance as requiredFirst point of contact for complaints - obtain appropriate information from complainants and log all information to assist the Development Enforcement Officers in enforcement actionsMonitor and administer the development permit expiry log and re-application processPrepare draft correspondence, documents, agreements, reports, briefings and advertisementsProvide information to or obtain data from internal and external clientsSchedule appointments and maintain calendar of meetings, events, deadlines and expiry notices for branchPrepare and process payment vouchers, cheque requests and journal entriesAct as Department Records Representative:Assist in the maintenance of department file system, establish/maintain central files, ensure records are maintained as well as archive/destroy in accordance with corporate guidelinesEnsure documents/notes are scanned and/or inserted into POSSE land file ensuring corporate records are maintainedProvide coverage when requested for other department Administrative Assistants, as well as front reception on a rotational basisSkills and AbilitiesStrong interpersonal and customer service skills, and excellent communication skills (verbal and written) with the ability to work as part of a cooperative and cohesive teamExceptional organizational and time management skills in order to deal with tight timelines and changing priorities with a heavy workloadAbility to use sound judgement when dealing with confidential information while maintaining a high level of professionalism and discretion when dealing with internal and external clientsAble to assess work flow processes and create efficienciesProficient in the use of computer applications including Microsoft Office, POSSE, GIS Wizard, Adobe Acrobat Pro, etc.QualificationsHigh School Diploma plus five (5) years of related administrative experienceCertificate or Diploma in Administration (or a related field) is preferredExperience and knowledge of operational practices and procedures within the municipal government sector environment is highly desirableIn addition to providing a dynamic working environment, we offer a competitive salary and benefits package.Shortlisted candidates will be required to provide proof of educational and professional credentials as noted in the resume.This competition may be used to fill future vacancies for similar positions within the next 6 months.Competition #221-2021-EXT-PDS closes July 14, 2021Thank you for your interest in Strathcona County.
