Job Description

Job DescriptionThis posting is for 1 non-permanent hourly position with an expected end date of December 30, 2022As the Digital Workplace Project’s Records Analyst, you will ensure that valuable corporate records are not lost during the cleanup activities during the migration to a new cloud-based system. Using records management concepts, you will be responsible for managing and executing the clean up of redundant, obsolete, and transitory records, as well as rolling out the new functional archive sites to client departments.Responsibilities

  • Support program governance and explain the Records Retention Schedule (RRS) to stakeholders of varying levels across the organization
  • Maintain the Departmental File Plans which align to the RRS and ensure departmental representatives are knowledgeable about them
  • Explain the Program’s Records Modernization Roadmap across the organization as needed
  • Lead the socialization of the functional archives across departments and facilities discussions about archive site architecture, policies, labels, and best practices
  • Assist the content owners across the organization with the management of their digital content and clarify when authoritative records need to be printed and shipped offsite
  • Provide training and stakeholder engagement as needed to raise the knowledge level across the organization about records management
  • Conduct assigned reviews of exiting archies, security configurations, and related information assets using subject matter expertise and knowledge of RRS
  • Facilitate meetings with Systems Administrators to ensure records retention compliance goals are met
Skills and Abilities
  • Excellent interpersonal and social skills with a strong team focus
  • Strong organizational skills and creativity with the ability to work independently
  • Clear verbal and written communication skills
  • Familiarity and comfort using a records retention schedule to guide recommendations
  • Ability to adhere to safety protocols, ethics, and professional codes of conduct, as well as municipal guidelines
  • Ability to identify potential issues, concerns, and redirect these to the supervisor
  • Responsible, reliable, and able to work independently
Qualifications
  • Post-secondary diploma or degree in records management, information management, library sciences, or related disciplines with one year of related work experience
  • Certifications from AAIM or ARMA are an asset
  • Experience working with Sharepoint Online Modern in an information or records management capacity is highly desired
  • Experience working in a municipal environment with applicable legislation (MGA, FOIP and ISO 15489) is highly desired
