Job Description

PurposeThe Program Assistant will primarily work within Volunteer Strathcona's volunteer programs on database administration and assist with recruitment, screening, documentation, scheduling and ongoing support of volunteers. The Program Assistant will be the first point of contact for Strathcona County residents seeking program services. This is an ideal position for someone with excellent attention to detail, experienced in Excel-based databases/data entry, and enthusiastic about engaging with volunteers and community members by phone, email, and in person. The Program Assistant will also enjoy and have a passion for working with seniors and other vulnerable citizen groups. This is a one year contract position with possibility of extension.Responsibilities

  • Assist in the interviewing, recruitment and retention of volunteers in all programs
  • Database administration of volunteers and clients
  • Answering/returning calls and emails to residents and volunteers
  • Maintain agency guidelines for volunteers
  • Assist the Volunteer Service Manager in training and development for all volunteer programming
  • Provide accurate statistical and activity reports on the volunteer program, within the required timeframe
  • Maintain confidentiality of volunteer performance and client interactions
  • General clerical duties including photocopying, scanning and emailing
Skills and Abilities
  • Ability to problem solve in the moment
  • Strong Excel data administration and troubleshooting
  • Capable of pulling data for reporting purposes

  • Capacity to handle several projects or initiatives at once
  • Engage with variety of persons and manage relationships at various levels – management, staff, volunteers
Qualifications and Knowledge
  • Post-secondary diploma in administration or volunteer management; and at least one year of related experience and/or training; or equivalent combination of education and experience.
  • Proficient with database software, in Microsoft Office Suite (Word, Excel, PowerPoint), and in Google Workspace (docs, email). Adobe Acrobat desired, but not required.
  • Strong database administration skills
  • Effective verbal and written communication
  • Administrative program/project support experience.

Working Conditions
  • Office environment with time spent in meetings with outside relationships
  • Weekday office hours, approximately 18 hours/week, 3 days/week
  • Possibility for very occasional evening and weekend availability
  • Participate with staff in weekly office clean (vacuum, desk wipe down, garbage removal)
  • There are times when external projects will require light lifting due to set up and tear down (tables, tents, etc.)
