Through the actions of the Values We Live By, accountability, communication, leadership, integrity and respect are encouraged, while maintaining a work, play balance.Position Overview:This position is responsible for data entry and processing of permit applications for building, development, electrical, plumbing and gas. The incumbent also processes business license applications. This position provides general administrative support to the Planning Department. This position reports to the Supervisor of Administration.Responsibilities:Office Administration:

  • Process and coordinate permits and data entry of all development and safety codes permits (building, electrical, plumbing and gas), which includes application tracking and applicant notification.
  • Answer all customer inquiries with regard to applying and renewing business licenses.
  • Process and coordinate business license applications which includes data entry, tracking and notification.
  • Review and update public information for all applications.
  • Assist with compliance process by accepting applications, taking payment and other related administrative duties.
  • Create electronic files for CM9
  • Customer support for CityView Portal application entry
  • Intake review of CityView electronic applications
  • Answer and direct service tracking inquires.
  • Collect fees associated with department processes and complete financial processes associated with Planning and Development and process refunds as needed.
  • Provide Planning support including notifications and advertisement placements in newspaper.
  • Review and update public information and application forms for all department processes.
Stakeholder Relations
  • Act as a single point of contact for permit issuance for the Planning Department.
  • Respond to customer inquiries and assist customers with CityView permit, compliance and business license processes.
  • Coordinate permit application with internal and external stakeholders throughout the process.
  • Maintain tact, composure and diplomacy in dealing with clients, customers, builders and contractors.
Other Duties:
  • Have an understanding of and adhere to City policies, procedures and standards, whether written or implied, as amended from time to time.
  • Contribute to a positive safety culture by acting in a safe manner at all times and complying with City safety policies for staff and contractors.
  • Provide leadership for Health and Safety by making every reasonable effort to ensure the health and safety of staff within the section.
  • Act as a steward of the Citys Corporate Culture by focusing on the Values We Live By.
  • Perform other job related duties as required.
  • May provide backup for the Safety Codes Assistant.
Qualifications:Qualifications:
  • High School Diploma
  • Minimum of two (2) years experience in business administration, permit issuance.
  • Minimum of one (1) year experience of front line customer service.
  • Knowledge of FOIP - Service Alberta.
  • Knowledge of municipal government processes an asset.
  • Permit Issuers Course - Municipal Affairs an asset.
  • Designation of Power - Safety Codes Council obtained after hire.
  • Standard First Aid is an asset.
