Job Description

The receptionist is the first point of contact for the firm and provides administrative support across the organization in an accurate and timely manner.Duties and responsibilities

  • Greeting clients in a professional manner;
  • Answering, screening and forwarding any incoming phone calls while providing basic information when needed;
  • Printing/organizing documents as instructed for client meetings;
  • Receiving, sorting and distributing daily mail;
  • Processing and posting of payments;
  • Maintaining professional appearance of the parts of the office that the clients see (foyer, reception desk, boardroom and corridors);
  • Establish procedures as required to ensure a smooth flow of information from clients to lawyers/paralegals and vice versa;
  • Watering the plants;
  • Ensuring the kitchen is kept clean;
  • Maintaining tidy appearance of copier room (copiers are filled with paper, distribute print outs);
  • Refilling the postage meter
  • Checking inventory of office supplies and ordering when needed;
  • File Retrieval from Iron Mountain as requested by a legal assistant;
  • Closing files and arrange courier to off-site storage;
  • Getting the CLB (inter-office mail) ready for the end of the day and arrange courier;
  • Library filing;
  • Assisting the back-office staff with copying, filing and scanning as needed;
  • Running errands as needed (banking, post office, deliveries, weekly grocery shopping, arranging F&B for Friday socials and lawyer meetings);
Qualifications
  • Proficient with MS Office.
  • High school degree, two years in an office environment
  • Solid communication skills both written and verbal; excellent attention to detail
  • Ability to be resourceful, proactive and think critically in dealing with issues that may arise
  • Ability to organize, multitask, prioritize and work under pressure
  • Professional appearance and demeanor; excellent attention to client service
Job Type: Full-timeSalary: From $45,000.00 per yearAdditional pay:

  • Administrative experience: 1 year (preferred)
