As the first point of contact for clients, this position plays an instrumental role in creating an environment that is safe and welcoming. Comfortable with technology, the Administrative Support staff have a strong ability to prioritize while maintaining flexibility of their duties and tasks dependent on client and practitioner needs.Roles and Responsibilities: Answer incoming calls, emails and texts in a warm and professional mannerMaintain confidentiality of client information at all timesScreen needs and interests of potential clients inquiring about appointments and therapistsMatch potential clients with skills, interests, schedule, and cost of our practitioners and students; schedule initial appointments and follow all new client intake proceduresRespond to client concerns and questions including assisting with scheduling, registering in groups and talks, and providing invoicesProvide administrative support to practitionersOther administrative duties as required including copying/filing/faxing/scanning, mail management, newsletter and mailing lists, office supply management, etc.Assist and support practitioners and senior office staff with bookkeeping and billingAssist on projects as neededEducation and ExperiencePost-secondary education in administration, business or related field; comparable job-based experience will be considered3-5 years of administrative/office reception experience; preference will be given to candidates with experience in a related fieldFluency with standard office-related software requiredSome understanding of, or experience in, the mental health field preferredA combination of education and experience will be consideredKey Competencies: Flexibility; the ability to change priorities of daily work as requiredCommunication proficiency, both written and verbalTeamwork and collaboration skillsStrong customer/client focusDetail-oriented and strong organizational skillsSound judgment and problem solvingAbility to self-manage time according to prioritiesHigh integrity and professionalismTechnical ability, including: competency with standard office-related software,ability to learn the specific complex software programs used by Rivers Edge Counselling Centre to ensure good team communication, accurate record-keeping and completion of all office proceduresHours of Work: This is a part-time position of approximately 20-30 hours per week. The perfect applicant will be looking for an opportunity that allows them some flexibility in their hours, and who also has flexibility to offer.Preference will be given to candidates who live in the community of St. Albert.Compensation: $ 21 / hour following a probationary period$ 19 / hour for the first 3 months during the probationary training periodVacation, Benefits and HSA providedStart Date: Ideal start date is August 12th, but may be negotiated with the right candidate.
