Job Description

ST. STEPHEN’S UNIVERSITYRegistrar/Associate RegistrarThe UniversitySt. Stephen’s University (SSU) is a progressive, intentionally small, independent liberal arts university located in beautiful St. Stephen, New Brunswick, Canada. With an educational mission grounded in the core values of beauty, compassion, and justice, the University offers undergraduate and graduate degrees in several areas, with particular strengths in the humanities, international studies, integrated studies, reconciliation studies, peace and justice, and theology and culture.The PositionThe University is seeking a creative, collaborative, and enthusiastic colleague to serve as our new Registrar. This position is essential to all curricular activities at the University. The Registrar manages academic policy and student records, and is responsible for all the functions that support these areas of responsibility. The Registrar works closely with faculty and staff as needed, and reports directly to the Chief Academic Officer (CAO).Core Responsibilities

  • Fielding questions from prospective students and families
  • Advising students and advocating for students as needed
  • Evaluating admissions applications; assigning transfer credit
  • Advising about course selection; managing course registration
  • Managing students’ course changes during the academic year
  • Verifying that students meet the requirements of select programs
  • Overseeing course scheduling and creating appropriate timetables
  • Constructing, managing, and publishing the academic calendar
  • Communicating with other registrars about incoming/outgoing students
  • Overseeing all aspects of the course registration/scheduling process:
  • Scheduling courses
  • Assigning classrooms
  • Scheduling final examinations
  • Recording grades; issuing transcripts
  • Verifying student enrollment and status
  • Assists with graduation and convocation in a variety of ways, including: ordering diplomas, gathering needed signatures, processing surveys, and collecting post-graduation contact information and plans
  • Other duties and responsibilities as assigned by the CAO
Qualifications, Skills, and Experience
  • Undergraduate degree in the liberal arts or a related area of study
  • Experience in a higher education administrative setting
  • Excellent communications and organizational skills
  • Positive “can-do” attitude and a commitment to accountability
  • Desire to think creatively, to collaborate, and to help students succeed
  • Experience with software platforms like Google, Salesforce, Sycamore
Additional Desirable Qualifications, Experience, and Skills
  • Graduate degree in the liberal arts or a related area of study
  • Experience living, studying, teaching, or working internationally
  • Familiarity with Atlantic Canada and the Canadian educational context

Terms of Employment
  • This is a 12 month, half-time, renewable position
  • Expansion to a full-time position as growth requires
