DUTIES: The Administrative Officer I is responsible for a variety of coordination, administrative, business, and records management services for the Office of the Registrar, most of which are highly confidential in nature. The Administrative Officer I proactively creates and maintains effective workflow and communications which includes the continuous monitoring and handling of a variety of projects and tasks simultaneously, maintaining standards and advising progress. This work includes responding to inquiries, daily office management, preparing statistical and annual reports and problem solving to respond to issues related to divisional operations. This individual assists the Registrar and Associate Registrars in the compilation and analysis of information needed for various departmental reports, generates reports from Peoplesoft, and interprets statistics using database and spreadsheet software to provide accurate information to internal and external stakeholders for evidence-based decision making. This position monitors budgets for the Office of the Registrar including travel, expense, and operating budgets. The incumbent may be asked to occasionally support other managers in the division. This position is included in the bargaining unit (NAPE, Support Staff).QUALIFICATIONS: Candidates must demonstrate a thorough knowledge of administrative support functions and computer applications including the Microsoft Suite of programs. Knowledge of PeopleSoft is an asset. The ability to interact and work well in a team environment while also working independently is essential. This individual must be able to prioritize and manage multiple projects simultaneously. Effective communication skills, time management/organization skills, and the ability to deal with complex issues is also required. The ability to establish and maintain effective working relationships with colleagues and students is essential. These qualifications are acquired through the completion of a Diploma in Office Administration combined with relevant work experience in a similar administrative role.
