Job Description

As a tech savvy, detail oriented administrative professional with an interest in developing your career in Human Resources, you will bring your passion for learning and continuous improvement to an organization undergoing a business transformation. You are comfortable with change, managing multiple priorities, can work independently in a confidential environment and make informed decisions.As an Administrative Assistant with Strathcona County’s Human Resources team you will work within the HR Business Partnering branch supporting the team with their day-to-day administrative needs as well as ongoing projects and initiatives.Come and join Strathcona County’s Human Resources team today!Responsibilities

  • Assist in supporting the HR Branch Manager and team members with work schedules and calendars, scheduling meetings (in-person and virtual), call for agenda items, coordinating handouts and recording meeting minutes on a requested basis
  • Work collaboratively within the branch on projects, initiatives and process efficiencies, providing support for organizing materials, project tracking, documentation and communication
  • Track/report on statistics and trends related to Branch activities
  • Support overall branch communication including creating presentations in PowerPoint, SharePoint news stories/articles, and reports in Excel
  • Act as the subject matter expert on SharePoint in the branch, work as a super-user and site administrator to support Branch leadership to manage information/documents, assist with troubleshooting and identify opportunities for improvement, develop and deliver training
  • Research and understand best practices, design and develop solutions in to enhance overall branch SharePoint utilization
  • Support the team with their document/file management within SharePoint, edit and move documents as required
  • Maintain corporate visa, prepare expense reports, pay invoices, administer payment vouchers, journal entries and purchase orders
  • Research and gather information on various topics and liaise with the wider organization for relevant information or assistance
  • Create process documentation and any organizational charts required by using Visio
  • Working closely with the Financial and Business Analyst, ensure contracts are managed appropriately within the branch and provide relevant business planning and budgeting documents
  • Coordinate onboarding for new employees to the branch
  • Provide coverage at reception and for other HR administrative staff
Skills and Abilities
  • Strong organizational and planning skills, with the ability to work independently, set priorities and work in a high volume/fast paced environment
  • Strong communication (both written and verbal) and excellent customer service skills
  • Ability to anticipate needs, demonstrate sound judgement and decision making
  • Proven capability of managing multiple priorities with a consistent track record of delivering on-time, high quality results
  • Ability to respect confidentiality and support sensitive HR matters professionally and discreetly
Qualifications
  • Completion of a certificate in Administration or Human Resources or a related field with a minimum of (4) years of related, progressively responsible experience or a high school diploma with (5) of years related administrative experience, with preference given to experience in an HR setting.
  • Advanced skills in Microsoft Office 365 and a variety of HR software
  • Broad understanding of HR policies, programs and services, as learned through on-the-job training and experience
