Job Description

Are you an administrative professional experienced in providing executive-level support Then this position is for you!In this role, you will report to the Manager of Governance Services and Deputy Clerk and provide executive-level administrative support to ensure the smooth operation of the governance area of the Legislative and Legal Services department. This position is responsible for key administrative tasks related to Council, boards, committees, and tribunals. This position also provides part-time reception support for the Legislative and Legal Services departmentResponsibilities

  • Provide administrative support to the Manager of Governance Services by preparing day files, tracking priority project deadlines, and scheduling various meetings
  • Provide administrative support for Council Orientation (e.g. booking facilities, arranging catering orders, communicating with speakers, preparing orientation materials and presentations, and liaising with other departments)
  • Assist with the review and updating of Governance Services webpages and resources
  • Assist with first level research in support of key projects as directed
  • Assist in preparing responses to other municipalities and stakeholders regarding governance area inquiries
  • Provide administrative support to the Coordinator of Boards and Committees for tasks such as financial functions (e.g. filing fees, issuing receipts and refunds, and board member remuneration), maintaining records (e.g. spreadsheets to track complaints, hearings, disclosures, rebuttals, and decisions), coordinating hearing schedules for administrative tribunals, preparing hearing notices and other correspondences
  • Provide assistance with the receiving of various appeal documents and provide first level information regarding the various appeal and complaint processes
  • Provide administrative support for the recruitment of public members for boards and committee positions including reviewing communications, applications, advertisements, and acting as a receptionist during the public member interviews
  • Coordinate and draft communications to members of the public, boards, committees, and agencies, including but not limited to preparing letters to successful and unsuccessful applicants, preparing letters and certificates to retiring public members, preparing letters to external agencies advising of Councillor appointments to boards and committees, and preparing letters to external committees advising them of the new citizen appointments
  • Administrative support for Governance area, including booking staff training and conferences, records management, and minute taking for Governance area meetings
  • Assist with administration of minutes for the Governance area
  • Responsible for providing reception services to the Legislative and Legal Services department on a part-time basis (i.e. typically 2 days per week and as required to ensure coverage for vacations and other absences)
Skills and Abilities
  • Excellent attention to detail and ability to be proactive in the execution of administrative details
  • Proficient knowledge of Microsoft Office products and business equipment
  • Excellent interpersonal, verbal, and written communication skills
  • Strong organizational and time management skills, with attention to detail
  • Effective critical and analytical thinking, and problem-solving
  • Strong understanding of provincial legislation, regulations, and County bylaws related to Administrative Tribunals for appeals and complaints.
  • Strong understanding of committee processes and meeting management
  • Excellent customer service skills, diplomacy, and tact
  • Ability to maintain discretion and respect confidentiality
Qualifications
  • Minimum High School Diploma with 5 years of related experience
  • Post-secondary diploma in office administration, administrative justice, or a related field or equivalent certificate program from an approved business school or college is preferred
  • Experience supporting a manager, director, or executive level is highly desired
  • Strong understanding of the provincial legislation, including the Municipal Government Act, Land Use Bylaw, Municipal Development Plan, provincial regulations, municipal policies and bylaws, parliamentary procedures and principles of administrative law as they relate to administrative tribunals is an asset
