Job Description

You’ll be a part of an entire organization that will never be satisfied with the status quo and will always be looking for ways to improve and be more efficient while taking care of the customer.The RoleThe Administrative Integration Specialist supports strategic plans, enhances interdepartmental synergies and coordinates process evolution and optimization. They collaborate with Leadership and facilitate proactive communication across corporately focused internal teams. The Administrative Integration Specialist must have the delicate balance of executing the CEO/CAO’s goals, while also being a strategic thinker, a strong manager, and aligning with the company’s culture and core values.Primary Roles and Responsibilities

  • Work directly with the CEO and CAO to anticipate, identify and address issues
  • Attend confidential Leadership Team meetings; develop strong relationships to facilitate business synergies
  • Contact point and ambassador for all persons to communicate with the CEO, identify and convey priorities, e-mail, and calendar management
  • Support the development and execution of corporate and departmental Boulders, Rocks and objectives
  • Support the value and momentum resulting from cross-company integration of strategies, processes, and people
  • Build relationships, establish, and maintain positive working relationships with others both internally and externally to achieve MTJF’s goals
  • Communicate effectively, speak, listen, and write in a clear, thorough, and timely manner using appropriate and effective communication tools and techniques
  • Work cooperatively and effectively with others to set goals, resolve problems and make decisions that enhance organizational effectiveness.
  • Set priorities, develop a work schedule, monitor progress towards goals, and track details/data/ information/activities
  • Facilitate L10 and stakeholder meetings that encourage open and honest communication, focus on finding common ground and result in productive outcomes
  • Support initiatives that enhance individual and team health (i.e. EOS methodology)
  • Initiate, compose and prepare confidential internal and external documentation, presentations and correspondence with accuracy, resourcefulness and creativity
  • Grant writing and research
  • Company-wide event planning and coordination
  • Liaise with internal and external stakeholders and industry representatives on behalf of the CEO, CAO, and the company
  • Other duties as assigned
Skills & Experience Required
  • Experience supporting multiple executives
  • Proven executive level written and spoken communication skills
  • Demonstrated aptitude to prioritize tasks based on comparative importance and urgency
  • Strong public speaker and meeting facilitator, able to employ communication and dispute resolution strategies as required
  • Ability to resolve issues and build consensus among groups of diverse internal stakeholders
  • Competent, curious, collaborative, and resourceful; able to anticipate business requirements
  • Strategic/critical thinker and a good problem solver
  • Enthusiasm for continuous learning relevant to the role and the desire to take on new challenges
  • Detail-oriented with excellent organizational, prioritization, time management, written and verbal communication skills, a demonstrated mastery of spelling and grammar
Qualifications include
  • High school diploma or post-secondary education in business, office management or related field is considered an asset
  • Advanced knowledge of all Microsoft applications
  • Event planning and execution experience
