Job Description

Our experienced and engaged workforce delivers a diverse range of services and programs that continue to help us set new milestones for quality of life.Position Overview:Reporting to the Manager of Legislative Services, the Legislative and Policy Coordinator will provide full administrative support to the Manager of Legislative Services, Council and Council committees. This position will be responsible for providing a wide range of professional administrative duties under tight deadlines that require a high level of accuracy, confidentiality, and discretion.Key Areas of Responsibility:Legislative and Policy Coordinator

  • Assemble and distribute Council and Committee agendas, arrange meeting facilities, schedule public presentations, record and/or transcribe Council and Committee minutes, prepare general correspondence, take follow-up action as required, arrange for documents to be signed by the Mayor and CAO and maintain a record of outstanding items.
  • Responsible for technical requirements associated with meeting management software along with training and troubleshooting.
  • Research and develop Legislative Services bylaws, policies, and procedures as directed by the Manager of Legislative Services.
  • Provide support to the Clerk for the Assessment Review Board and Subdivision and Development Appeal Board, including scheduling hearings; mailing notices; collecting the appropriate fees; organizing board members to attend hearings; preparing agenda packages; attending hearings and drafting and distributing decisions.
  • Assist with Municipal Elections, Census and other legislative processes.
  • Coordinate all Council related events as required.
  • Provide support with Council’s Boards and Committee recruitment and appointment process.
  • Assist the Town’s records management program.
  • Assist with Freedom of Information and Protection of Privacy requests.
General
  • Display a high degree of confidentiality, professionalism and diplomacy in a complex government and community office.
  • Establish strong and positive working relations with both internal and external customers.
  • Comply with all safety policies and procedures.
  • Undertake other tasks and responsibilities as required within the scope of this position.
Qualifications:
  • Post-secondary Certificate or Diploma in legal administrative assistant or equivalent.
  • Certificate in local government studies would be an asset.
  • Two (2) to Three (3) years related experience.
  • Excellent ethical standards, decision-making, judgment, analytical and communication skills.
  • Consent to disclosure of a Criminal Record Check
Working Conditions:
  • Ability to work occasionally in the evening and/or weekends to support with election/plebiscite processes and/or to attend meetings.
