Job Description

Monica Place, KW Counselling and Carizon have decided to become one agency and is now in Phase 3 of unification. As we begin to work more closely together, we are excited to share postings across all three organizations. The lead organization for this role is Monica Place.Located in Waterloo Region, Monica Place is an accredited, registered non-profit child and youth mental health agency focused on the needs of pregnant and parenting youth and their children. Since 1968, Monica Place remains an innovative centre that motivates, educates, nurtures and empowers pregnant or parenting youth to make healthy choices for themselves and their children.RECEPTIONIST SECRETARY – Part-Time Contract Role (until June 30, 2023) – Hours of Work – 8:30 AM – 1:30 PM, normally Monday to FridayThe Receptionist is responsible for providing timely and discreet reception of guests and callers, administration of the database system and records, and office support to the staff at Monica Place. This is a vacant unionized position under OPSEU Local 258.Job Requirements

  • Administrative and receptionist experience, preferably in the Social Services Sector
  • Above average skills in communication and listening, demonstrating regard for individual personalities
  • Proven ability to effectively manage workload to meet the demands of the position through time management and organization skills
  • Answer, screen and forward in-coming telephone/email inquiries efficiently to appropriate staff person based on agency job descriptions and responsibilities
  • Direct and track program participants and visitors to Agency, following appropriate security procedures
  • Generate student cards, volunteer and baby pictures for childminding program participants Receive incoming deliveries and donations, record donor information and generate thank you. Assist Residential/Childminding staff move donations to appropriate sorting location to ensure reception area is maintained
  • Provide training to volunteers and students on answering the telephone and general receptionist duties and update Reception Procedure Manual as necessary
  • Generate Twitter ads to solicit donations for Monica Place Waterloo
  • Accurately organize, input and maintain statistical data using database system as directed
  • Provide any relevant report and statistical data to management as required
  • Ensure timely and effective internal and external communication of information to staff and young women as necessary utilizing various office tools.
  • Develop respectful working relationships with the young women we support, staff team, volunteers, community agencies and service providers
  • Coordinate Birthday recognition of program participants and staff. Assist with service recognition of staff where necessary
  • Perform office support duties
  • Demonstrated ability to make timely appropriate decisions
  • Understanding of multi-cultural communities and values diversity
  • Adhere to agency policy and procedures to coordinate activities and ensure effective service delivery
Education and Experience
  • Completion of Post-secondary education related to Business services, Receptionist, and/or Administrative Assistant
  • 3-5 years’ Reception/office experience preferably in the Social Service Sector
  • Administrative and receptionist experience, preferably in the Social Services Sector
  • Above average skills in communication and listening, demonstrating regard for individual personalities
  • Proven ability to effectively manage workload to meet the demands of the position through time management and organization skills
  • Demonstrated ability to make timely appropriate decisions
  • Understanding of multi-cultural communities and values diversity
  • A police check for the vulnerable sector is required
  • Must be legally eligible to work in Canada
