Department: JusticeLocation: WATERVILLEType of Employment: PermanentUnion Status: NSGEU - NSPGClosing Date: 5/25/2022 (Applications are accepted until 11:59 PM Atlantic Time)About UsAt the Nova Scotia Youth Centre we provide a safe, secure, healthy and supportive facility for individuals in custody to achieve positive change.For more information on the Department of Justice Correctional Services please visit our website:https://novascotia.ca/just/Corrections/VisionandMission.aspAbout Our OpportunityAs a Clerk 3, you will be critical in contributing to the overall daily operations of the Nova Scotia Youth Centre.You will provide a board range of clerical and administrative support duties such as receive and balance monies, enter and retrieve data from automated systems. You will also record and process documentation, adhere to policies and processes and maintain filing systems, all while working as a team player.You are responsible for the accurate and timely posting of transactions and information to automated systems. You will assist in ensuring that incoming and outgoing documentation is accurate and that schedules are administered effectively. At times you will be required to work independently in the absence of immediate supervisor. You will exercise discretion and efficiency in responding to requests for information in absence of immediate supervisor.Primary AccountabilitiesAs Clerk 3, you will be responsible for:

  • sentence administration including calculating sentences, automatic eligibility dates for judicial review and breach information;
  • maintaining records of non-public funds which includes Individual Person’s trust accounts and Special Allowance;
  • carrying out Human Resources duties for staff entitlement as it relates casual pay invoices, overtime, and leave;
  • maintaining filing system for individuals and administrative files as required by the Program Administration Officer and/or senior facility personnel;
  • assisting in ensuring overall security of warrants/court orders pertaining to individuals within the correctional facility.
Qualifications and ExperienceAs a successful Clerk 3, you have four years of related experience. A relevant combination of education and experience will be considered.Strong organizational, time management and multi-tasking skills will be important. Your key skills include attention to detail, confidentiality, and the ability to work under pressure and deadlines.You must demonstrate sound judgement, initiative, and tact and possess knowledge of the type of duties performed by Correctional Services Facility staff as well as the procedures of the facility, courts, and other agencies as they relate to the administration of individual person custodial sentence.Accuracy and the ability to multitask and deal with changing priorities to keep objectives on track is required along with Confidentiality and discretion at a high level due to details of custodial information.You should have sound knowledge of computer programs such as MS Word, Excel, and Outlook.Background with the Justice Enterprise Integrated Network (JEIN) as well as knowledge of the Criminal Code of Canada; Youth Criminal Justice Act, and other federal statues that pertain to the administration of individual custodial sentences would be considered an asset.We will assess the above qualifications using one or more of the following tools: written examination, standardized tests, oral presentations, interview(s), and reference checks.EquivalencyEquivalencies include, but are not limited to:
  • Three years of undergraduate study in addition to one year of related experience
  • A two-year certificate/diploma plus two years of related experience
  • A one-year certificate/diploma plus three years of related experience

  • We are a 24/7 Correctional Facility with possible contact with incarcerated individuals.
  • Work is typically located in an office setting with frequent contact by email, phone and in-person.
  • There is a daily need to read and analyze information and review court orders.
  • Correctional Facility environments differs substantially from normal office conditions due to space limitations and security provisions which limit movement.
