Reporting to the Business Manager, this position will be responsible for (but is not limited to):Coordinating the records management function of the Fire & Rescue Division;assisting with the maintenance of the Department’s centralized files and ensuring compliance with Department requirements;administering payroll including: shift re-alignments, holiday pools, recording of leaves, and maintaining the flex firefighter pool document;responding to freedom of information requests in a timely fashion;maintaining the Fire Department emergency call out list;responding to oil tank inquiries and requests for historical records to qualified residents;updating office manuals and maintains the department computerized records management system;drafting Operational Guidelines and Memos;reviewing and completing quality assurance of reports;completing inspection and false alarm billing;preparing correspondence, reports and statistics;performs other related duties as required.The preferred candidate will possess a Diploma in Business supplemented by courses in payroll and comprehensive related experience in government or private sector administration or an equivalent combination of education and experience; knowledge of legislative and regulatory records management requirements for Fire & Rescue Services; the ability to multi-task, problem solve and pay attention to details while being aware of the broader context; an ability to work effectively and tactfully with a diverse range of people and groups; the ability to communicate effectively both verbally and in writing; strong data analysis knowledge and sound knowledge of the software necessary to perform the functions of the job such as Microsoft Office, eDocs, FDM, Records Management, Internet/Intranet, JDE, FireNet, Maintenance Connection and TeleStaff.The successful candidate will be required to supply a police information check and a copy of their credentials.Position Status:Exempt – Permanent, Full-TimeHours of Work:35 hours per week (hours and days of work may vary)Closing Date:11:59 p.m. on Sunday July 18, 2021.To Apply:Please visit the District of West Vancouver’s Career Centre at westvancouver.ca/careers to apply for this position.We want to thank all applicants, however only those chosen for an interview will be contacted.00300-21-EXEMPT-13If you have any questions please contact us at careers@westvancouver.ca
