Together with our lands, our customs and traditions are the foundations of who we are as Skwxwú7meshABOUT THE OPPORTUNITYReporting to the Team Leader, Admin Services, this position is twofold. 1). Manages the administrative flow and clerical tasks required by the Case Management and Family Therapy divisions. Operating as the “key point of contact” for the social workers and therapists, this position provides a wide range of clerical and administrative support including maintenance and tracking of filing systems, scheduling and coordinating of social worker visits and meeting rooms and tracking of detailed data in excel format. 2) Responsible for assisting the social workers with new case intakes, caseloads, admin duties, etc. This position provides research regarding programs and services as well as undertakes special assignments and initiatives. The incumbent is accountable for developing and maintaining a bring forward system for contracts and agreements. The incumbent is responsible for a broad range of administrative tasks that usually require senior approval but may require independent judgment in some situations. Strong knowledge of federal and provincial Child & Family Service policies, practices and protocols, including knowledge of delegated authority from the provincial Ministry of Child & Family Development is required. The incumbent is required to have a good understanding of the professional staff’s requirements, court processes, case management techniques and community resources.Typical Duties & Responsibilities:Acts as the primary administrative support position for the Case Social Workers, Residential Care Social Workers and Therapists.Takes requests for administrative tasks from all case management team members and prioritizes based on urgency.Maintains complex databases for case management.Provides filing support to each case management team member, establishing a usable system and keeping files up to date with incoming correspondence.Assists Professional Staff with court processes.Interacts with Children In Care (CIC), care givers and/or families.Screens calls and visitors on behalf of professional staff as required.Performs a variety of regular office administrative/clerical duties.Assists social workers with new case intakes, including off-reserve cases.Assists social workers with caseloads and administrative duties.Adheres to workplace health and safety policies, safe work practices and procedures.Contributes cooperatively to the Squamish Nation Child and Family Services team to achieve position and department goals.Education, Level of Experience & Hiring Requirements:Diploma in Office Management, Administration, or relevant field from a recognized post-secondary institution. Education in a field related to Social Work or Child and Family Services is an asset.As career progresses, incumbent will be required to successfully complete job-required, short-term upgrading, training and courses relating to software applications, document control, office equipment, social work, children and youth in care, etc.3 – 4 years of directly-related experience in the majority of specialties listed in the job description including office administration, forms management, letter writing / word processing, previous position involving children and families, supporting social workers, researching, senior level administration support, etc.Experience working in a field related to Social Work or Child and Family Services is an asset.Experience as an intermediate level user of Internet, MS Office Applications – Outlook (Email), Word, Excel, etc. and other administration related software.Working experience with a large scale computerized database system. Experience with JD Edwards is an asset.Experience working in a First Nations environment is preferred.Must have a valid BC Driver’s License Class 4 or 5. Class 7N may be considered.Must have access to a reliable vehicle and current auto insurance that meets company policy.
