Job Description

Reporting to and under the direction of the manager, the Administrative Support III performs a variety of administrativeand clerical duties in support of professional staff. Uses judgement in prioritizing work to meet time lines, reviews workfor completeness and adherence to procedures. Representative duties may include: coordinating daily appointments ofthe manager; preparation of materials and agendas for monthly staff meetings; maintain and distribute resident cash floatas needed; and maintain documentation required by Standards.QUALIFICATIONS:(Education; Experience/Training; Knowledge; Licenses/Certificates; Membership Requirements)

  • High School Diploma
  • Administrative Assistant Certificate an asset
  • Business and Clerical experience an asset, preferably in a health care setting / environment
  • Advanced working knowledge technology and utilization of various office equipment (i.e. fax, photocopier, etc.)
REQUIREMENTS:
  • Receives, records, distributes incoming mail; arranges for mailing or distribution of outgoing correspondence
  • Records, classifies and files materials in accordance with established filing system and data bases
  • Monitors and requisitions office and medical supplies to maintain standard inventories
  • Scheduling site staff, scheduling meetings; records, transcribes and distributes minutes and agendas
  • Schedules and provides initial and ongoing training to staff on the use of The Bethany Group email account and
website, including follow-up reminders
  • Assists manager with yearly vacation planning for staff
  • Assists with coordination of yearly influenza vaccination clinics (staff and residents)
  • Assists with coordination of projects assigned to the manager and professional staff to ensure deadlines are met.
  • Supports accounting process to accounts payable clerk.
  • Related duties as required and assigned
