Position Summary: Under the supervision of the Accountant, the Administrative Assistant is responsible for supporting Finance and Administration Department by covering the front desk at town hall during lunch hour, performing various clerical tasks and general office duties. This position may also support special projects and vacation coverage.Core Expectations of the Role: -Provide coverage for front desk duties during lunch hours and vacations, which would include:o Welcome citizens to Town Hall and assessing their needso Provide point of contact for the phone during vacation coverageo Process incoming payments and cash receiptso Responsible and accountable for cash drawero Operate, maintain, and reconcile debit machine· Drop off outgoing mail and bank deposit daily· Post community flyers in our kiosk and community boards· Pick up incoming mail, scan and distribute daily· Enter parking tickets into our financial system· Assist Accounts Payable clerk with filing of invoices· Assist with water and tax billing mail outs· Post the daily online payments into our financial software and other clerical duties· Assist the Town Clerk with the Town’s Records Management System· Provide backup for minute taking at Council and Committee meetings as required· Assist with website and social media updates as required· Replenish coffee cream, milk, coffee filters etc. and load and unload dishwasher· Assist the organization on special projects and tasks, as needed· Adheres to all provincial and municipal Occupational Health and Safety policies, guidelines, and standard operating procedures· Perform other job-related duties as assignedSkill/Knowledge: · Experience in customer service· Computer skills, including proficiency in Microsoft Office Suite with an emphasis on Excel· Knowledge of Laserfiche and or Microsoft Dynamics GP/Diamond would be an assetDecision Making· Current policy and procedures guide decision making· Corporate Services staff are available for guidanceGeneral Capabilities: · Strong customer service and communication skills to deal with public and others in a polite and effective manner· Time management and organizational skills· Attention to detail· Good numerical skills· Computer software savvy· Ability to follow and adhere to policies and proceduresJob Types: Part-time, PermanentPart-time hours: 20 per weekSalary: $19.61-$25.03 per hourBenefits:
