Job Description

Competition #22-40-AU:Acadia seeks an Administrative Assistant in the Department of English & Theatre to provide administrative support to the Chair of the Department, faculty, students, and the Acadia Theatre Company. The successful candidate will:

  • Receive visitors, calls and other contacts to the department and provide informed responses to inquiries and make referrals as appropriate. Inquiries are frequent regarding registration, course waitlists, and academic regulations.
  • Maintain the departmental website, manage records, schedule appointments, arrange meetings, and take minutes as required.
  • Assist the Chair by entering course timetabling data.
  • Assist faculty by answering queries on departmental and university matters, including purchasing, expense forms, travel allocations, etc.
  • Support recruitment and orientation of new students and faculty and provide support for the Career Development process for faculty.
  • Support the work of Departmental committees and initiatives.
  • Track expenditures through purchase orders and procurement cards, maintain accounting database, and assist with budget preparations.
QUALIFICATIONS:
  • We are seeking a candidate who has proven experience delivering a high level of client service and demonstrated ability to think clearly and resolve issues promptly. Demonstrated initiative together with excellent planning, written communication, and organizational skills are required.
  • Completion of a recognized program in either office or business administration, combined with related work experience is required.
  • Demonstrated ability to work to a high level of accuracy, maintain confidentiality, and be flexible to regularly changing priorities is necessary, as is the need for strong analytical skills. The successful applicant will have demonstrated ability to work both autonomously and as instructed by the Chair.
  • Applicants must be highly proficient in the use of Microsoft Office applications and database management leading to competence in using the Colleague database.
  • Familiarity with Acadias academic programs and administrative procedures is an asset.
THE REWARDS: Acadia offers a comprehensive benefit package in addition to a starting salary of $41,343 per annum (SEIU Administrative Assistant 3).
