This includes maintaining the office presence, physical space, handling building related emergencies on an ongoing basis and serving as a liaison between the Company and outside facilities contractors. The Facilities Coordinator is accountable for services such as cleaning, security, building safety, parking, and ensuring the surrounding environment is in a suitable condition to work. They also manage any building maintenance such as heating and air conditioning, and renovations to maintain the working environment.KEY COMPETENCIES:

*ESSENTIAL DUTIES: **Facilities: **
  • Liaising with department managers and employees to identify facility related requirements and propose and manage cost-effective solutions
  • Support the work of the departments by monitoring facilities, including vendor contract negotiation as needed.
  • Responsible for leading the annual paper document shredding in the Altona office
  • Order and manage all furniture requirements for the buildings as needed
  • Interior & Exterior building maintenance
  • Manage the keys and lock box coordination for both locations
  • Operate and manage the waste management processes and contracts
  • Responsible for submitting the water meter readings (Altona)
  • Manage the Company’s custodial contracts for both Wpg and Altona
  • Maintain the Company’s stored property
  • Liaise with the property manager for the SmartPark as needed
  • Liaise and schedule facility related third party vendors to conduct work at the Company; including electricians, plumbing, and heating, landscaping, pest and rodent control, shredding, etc.
  • Manage a preventative maintenance program within the confines of an annual budget
  • Provide quarterly reports on budget and out of budget spends
  • Participate in annual budgeting for facilities
  • Maintains up-to-date records on our facilities for safety, budgetary and inspection purposes (including office floor plans)
  • Coordinate renovations within both facilities including scheduling contractors, managing timelines and internal communications, and working within a pre-determined budget
  • Manage and maintain the fleet of Company vehicles including insurance renewals, and keeping up-to-date records
  • Manage facilities related emergencies as they arise
  • Minor building repairs as necessary
Corporate Services:
  • Assist Corporate Support team as needed by providing back up reception/customer service within the Altona Office
  • Performing administrative duties as required
Health & Safety:
  • Lead the Employee Safety and Health Committee, including acting as the facility emergency response coordinator
  • Safety & Health training will be provided
  • Collaborate with Human Resources & Corporate Support as appropriate to coordinate Health & Safety and Ergonomic Assessments as needed
  • Manage the parking lot assignments and maintenance in Altona
  • Responsible for managing the safety and organization of the Altona office basement
Physical Requirements: __
  • Extended periods of standing.
  • Frequent periods of mobility throughout multiple floors of the office.
  • Repetitive motion.
  • Must be able to lift, push, pull and/or carry objects up to a maximum of 50lbs.__
  • Ability to climb ladders is required, ladder and fall hazard awareness training will be provided_
_QUALIFICATIONS & SKILLS: **
  • 1-2 years of experience in a facilities role
  • Experience in customer service is considered an asset
  • Valid Class 5 Drivers Licence is required
  • Work is required between the Winnipeg and Altona office locations. Frequent travel between the two locations may be required. Mileage reimbursement or vehicle for use is provided
  • WHIMIS training considered an asset
  • Proficient in Microsoft Office 365, including Outlook, Teams, and Planner an asset
  • Professional attitude and attire

  • Ability to be resourceful and proactive when issues arise
  • Multitasking and time management skills, with the ability to prioritize tasks
  • Positive customer service attitude
  • High attention to detail
  • Ability to work both independently and as a team to reach common goals
  • High school diploma or equivalent education required
