Job Description

The Belleville Police Service is accepting applications for a Temporary Full-Time Data Entry Clerk. This is a temporary full-time six-month contract, with a potential of an extension. MONDAY - FRIDAY (DAYS)POSITION OBJECTIVESThe Data Entry Clerk is responsible for performing data entry from Belleville Police Service (BPS) members and the computer voice storage system into the BPS records management system.POSITION RESPONSIBILITIES1. Perform duties in a manner that reflects the Service’s Vision, Mission Statement, and Motto.2. Operate within the regulations, policies, and procedures established by the Police Services Act, the Belleville Police Services Board, and the Chief of Police.3. Transcribe all members’ reports, create court folders, enter charges, and assign tasks, as required.4. Provide quality assurance for all reports, documents, emails and any other electronic information that is prepared for disclosure.5. Transcribe video and audio statements for court disclosure.6. Transcribe Access Control Log incidents that require a high level of confidentiality.7. Work directly with file coordinators for Major Case Management files to ensure accuracy in reporting and respond promptly to their requests for transcription.8. Classify all incidents as either reportable or non-reportable and “Uniform Crime Report” (UCR) all non-reportable, as per training.9. Compile and prepare electronic Crown E-briefs for all courts including receipt of electronic E-brief checklists, retrieve scanned documentation from all sources and compile all of the documents into an electronic brief format as per Niche Record Management System (RMS) requirements for SCOPE disclosure.10. Ensure the timely movement of all E-briefs in order to SCOPE E-Briefs for disclosure to meet the R vs Jordan timelines.11. Maintain a daily tracking system of all required case files and Jordan deadlines, and immediately bring to the attention of the supervisor when a deadline is not met.12. Provide training and support to members on dictation procedures including updating and maintaining the dictation guidebook and review the use of Job Lister.13. Perform merges of addresses or persons in database, as requested and required.14. Enter data of prisoners using “In Custody” on NicheRMS and update detention log as requested.15. Provide NicheRMS “In Custody” support and training to staff.16. Create release documents, information and warrants in NicheRMS.17. Receive Vulnerable Persons Registry applications and Volunteer 911 Registry applications. Create an occurrence, flag person(s), enter pertinent contact information and follow-up with applicant(s) as required.18. Process all Electronic Reporting System occurrences and create occurrences, as required. Ensure tasks are assigned to a supervisor for any required police intervention.19. Act as a Commissioner of Oaths, as required, and swear affidavits for the issue and service of court documents and video statements.20. Act as back-up support to enter Provincial Offence Notices, Motor Vehicle Collision reports, and Paid Duty roster.21.
