More information is available at www.belleville.ca.Currently, the City of Belleville has an exciting opportunity for a highly motivated and dynamic individual to join the Transportation and Operations Department in Transit as a Customer Service Representative.PURPOSE AND SCOPE:Reporting directly to the Administrative Coordinator, the position is a first point of contact for visitors and provides excellent customer service as a representative of the department of Transportation and Operations Services. The position provides customer service to, and assists the public with complaints and queries related to the functions of the department.This position is responsible for the processing of accounts for the department of Transportation and Operations Services. Monitoring and issuing of Purchase orders, staff reimbursements as prescribed. The incumbent is responsible for the monitoring and reconciliation of Purchasing Cards.The position is responsible for completing weekly payroll entries for departmental outside workers and provides coverage for payroll activities in other sections within the department.DUTIES AND RESPONSIBILITIES:

  • Provides excellent customer service as the first point of contact for visitors and callers
  • Responds to general inquiries from the public; screens and forwards calls to others in the organization as appropriate
  • Interacts with the public and provides information and assistance in a polite and efficient manner; including the coordination of internal and external distribution of transit tickets and mobility passes
  • Relays information to Supervisors or crews in the field as required;
  • Records all inquiries and/or work requests into Worktech
  • Liaises and coordinates activities with various stakeholders and contractors
  • Updates departmental web pages as assigned.
  • Creates purchase orders, reconciles invoices and materials received against purchase orders, and processes cheque vouchers for payment.
  • Purchasing Cards – maintains receipts and other supporting documentation. Reconciles purchasing card statement and transaction registers. Allocates charges to the appropriate accounts.
  • Facilitates outreach and communication to the public via surveys, public forums, media, etc.
  • Provides clerical services for department managers and/or supervisors as assigned;
  • Provides back-up to departmental Administrative Team as required.
  • Completes other duties as assigned
Note: Above duties are representative of a typical position and are not to be construed as all-inclusive.KEY QUALIFICATIONS:EDUCATION/SPECIALIZED TRAINING/SKILLS:The position requires:Essential (minimum) Qualifications:
  • Two (2) year College diploma in business, office administration, public relations, or marketing studies.
Asset (preferred) Qualifications:
  • Demonstrated customer service skills with sound judgement, tact and discretion and the ability to communicate clearly with the public in person and on the phone;
  • Experience in fast-paced office setting with high attention to detail and meeting assigned deadlines.
WORK EXPERIENCE:Essential (minimum) Qualifications:
  • Two (2) years municipal government or related office experience
  • Experience dealing with the public in a customer service capacity
Asset (preferred) Qualifications:
  • Demonstrated experience using computers and applicable software; MS Office, internet browsers, Vadim, Worktech
  • Knowledge of accounting and business practices
