Job Description

The Ministry of Education, Sir James Whitney School for the Deaf, Provincial and Demonstration Schools Branch requires a highly skilled and motivated individual to provide secretarial/administrative services to the Principal, Resource Services Program and support the delivery of the resource services programs. Provincial and Demonstration Schools operate schools and after school programs with the tradition and reputation for meeting the academic, personal, social, emotional and developmental needs of the individual children.Join the team thats making a difference in the lives of Ontarios children and youth. The Ministry of Education, Sir James Whitney School for the Deaf in Belleville has an exciting opportunity for a part time Resource Secretary.What can I expect to do in this roleIn this role you will provide the following secretarial and administrative support services to the Principal of Resource Services program.You will:

  • Prepare a variety of documentation
  • Take minutes/notes
  • Answer calls/greet visitors/respond to general inquiries
  • Arrange for meetings
  • Manage schedules/calendars
  • Establish/maintain filing/correspondence/bring forward system
  • Maintain and order supplies as required
  • Undertake various other clerical and administrative tasks as assigned
  • Update and Maintain education specific database
  • Perform Ontario Student Record Maintenance
  • Lead Event Planning and Coordination
  • Possess knowledge of school operation
  • Prepare Reports and deliver in alternative formats as necessary
  • Field public inquiries
  • Work collaboratively in a team-based environment
How do I qualifyKnowledge and ExperienceYou have:
  • Advanced administrative/secretarial experience;
  • Demonstrated knowledge of office practices and administrative procedures;
  • Experience with managing the Student Information System;
  • Proficiency in preparing, formatting and coordinating a range of correspondence and documents.
Technical SkillsYou have:
  • Demonstrated experience using personal computers and software applications to prepare correspondence, presentations, spreadsheets, databases, Microsoft Outlook and other standard software applications;
  • Demonstrated experience using office equipment including photocopiers and facsimile machines.
Organizational, Reasoning and Problem Solving SkillsYou have:
  • Organizational, time management and administrative skills to organize high volume of administrative and secretarial services, to set priorities and meet deadlines, to ensure a coordinated and efficient flow of information within office, program and school areas;
  • Reasoning skills to determine what matters should be given priority when performing a variety of different administrative tasks with conflicting deadlines;
  • Reasoning and problem-solving skills to determine appropriate action for sensitive inquiries;
  • Ability and knowledge of FIPPA - Privacy Laws and Confidentiality.
Communication and Customer Service SkillsYou have:
  • Fluency in American Sign Language (ASL) and/or willingness to obtain;
  • Excellent communication and interpersonal skills to provide effective in-person and telephone reception, and exchange information with clients and/or the public;
  • Ability to provide information to stakeholders, parents and students in a courteous and professional manner;
  • Proven written communication skills to draft letters and memos.
