SHELTER COORDINATOR (SC) POSITION DESCRIPTIONNovember, 2022JOB TITLE: Shelter Coordinator (Maternity Leave Coverage)DEPARTMENT: ManagementRATE OF PAY: (see employee work agreement)CONTRACT: One-year contract with possibility of extensionREPORT TO: Director of OperationsJOB STATEMENT” Grace Inn Shelter is an emergency shelter located in Belleville, Ontario, serving as the frontline support for those who identify themselves as experiencing homelessness.The Shelter Coordinator is a key leadership role of Grace Inn Shelter. The Shelter Coordinator is responsible for theFrontline Team and Shift Facilitator(s) in the completion of shelter priorities and guest services. This role, when scheduled, is to oversee both staff and volunteers in the completion of day-to-day responsibilities. This position will work alongside and provide support to the Frontline Shift Facilitators in providing leadership to the FrontlineWorkers and volunteers, promoting a positive and safe work environment. The Shelter Coordinator, when necessary, will redirect both staff and volunteer priorities, to prevent compromising the safety and successful provision of nightly shelter services. This includes supporting the ongoing training and care for all team members.A primary responsibility of the Shelter Coordinator is the management of guest information, statistical data collection, and assisting the Director of Operations in community engagement, as it relates to program development and direct partnership with surrounding community services. The Shelter Coordinator is responsible to analyze and present gathered data in a format that can be understood by the Executive Director, Board ofDirectors, and community stakeholders. Utilizing the knowledge gathered from the data analysis, the ShelterCoordinator, when requested, will assist in researching and identifying funding opportunities that reflect the mandate and mission of Grace Inn Shelter.The Shelter Coordinator contributes to the development of shelter policies and practices, by identifying potential policies and practices that need to be implemented. This role is responsible to actively establish successful methods of information sharing, to ensure all employees remain informed of communication, as it relates directly to each position, including the understanding of shelter policies and procedures. As a contributing team member, the Shelter Coordinator will assist the Shift Facilitators in delegating appropriate tasks to the frontline, follow-up on task completion and as needed, support the timely coaching of the Frontline Team in the understanding of role responsibilities and guest support.The Shelter Coordinator manages a flexible schedule, balancing competing priorities, and ensuring the role maintains an intentional presence of support to the Shift Facilitators and Frontline Workers. This will at times require the Shelter Coordinator to work directly alongside the Frontline Team when staffing support is required and to stay actively engaged with the day-to-day operations of the shelter. This flexible schedule will assist theShelter Coordinator in making informed decisions and recommendations that directly impact the Frontline, guest services, and employee evaluations.SHELTER COORDINATOR POSITION DESCRIPTIONPRIMARY RESPONSIBILITIES OF THE SHELTER COORDINATOR

  • Be a supportive and proactive leader, overseeing the Shift Facilitator and Frontline Workers as they respond to guests seeking shelter, food and other basic care supplies
  • Support the dignity of guests by ensuring the Frontline is responding to guest needs in a respectful manner and provide timely feedback and coaching to staff when necessary.
  • Coach and work alongside the Shift Facilitators in the facilitation of the Frontline Team. This includes coaching all Frontline Team members in the ability to respond quickly and support an individual in crisis.
  • Use initiative to assess situations and make appropriate decisions that support both guests and staff.
  • Work with the Shift Facilitators to train, supervise, and mentor employees and participating volunteers.
  • Support the Shift Facilitators in actively coaching Frontline Workers, providing in the moment and timely feedback and encouragement.
  • Assist the Shift Facilitators in facilitating debriefs with the Frontline team, creating learning moments from
‘first time’ experiences.
  • Work closely with the Shift Facilitators regarding operational and staffing concerns, documenting corrective action and reporting issues to the Director of Operations and Executive Director.
  • Support the Frontline Team in the enforcement of guest service limitations and provide assurance to the decisions made by the team.
  • Participate in all staff training and attend regular scheduled meetings with both staff and leadership.
GUEST DISCHARGE AND HOUSING FIRST
  • With the support of the Shift Facilitators and Systems Navigator, and in consultation with the Director of
Operations, make informed decisions regarding the approval of guest service extension.
  • Support the Frontline Team in coaching guests to have a housing first mindset and ensure a method of practice that assists guests in remaining informed of their shelter discharge date.
ADMINISTRATIVE AND HUMAN RESOURCE RESPONSIBILITIES
  • Create effective Frontline Team schedules that reflect the changing needs of the shelter and provide accurate scheduled coverage to all shelter positions and programs, both onsite and offsite of the shelter.
  • Forecast staffing needs and be proactive to identify staffing shortages that could potentially compromise the provision of shelter programs and ensure all schedules meet the needed minimum staff compliment.
  • Actively participate in the screening, selection, and orientation of Frontline Workers
  • Working with the Shift Facilitators, create a learning schedule for new employees and placement students.
  • Alongside the Director of Operations, track the progress and learning of Community College placement students.
  • Prioritize and assist in the scheduling and hosting of quarterly Frontline Worker connection conversations
(one on one meetings)
  • Working alongside the Shift Facilitators, and Director of Operations, provide accurate yearly evaluations of all Frontline Workers.
  • Maintain an accurate and ongoing record of hosted coaching conversations, acknowledging an employee’s contributions and opportunities for growth
  • Respect and maintain the confidentiality of employee wage information.
  • Complete other duties as assigned.
2SHELTER COORDINATOR POSITION DESCRIPTIONTEAM DEVELOPMENT
  • Inspire employees to set goals and work towards their own self-development and improvement of role responsibilities specific to the employees identified strengths and opportunities.
  • Working alongside the Shift Facilitators, with the approval of the Director of Operations, create effective methods for rolling out new learning to the Frontline Team.
  • Create and establish an effective method for tracking staff learning, including the roll out, opportunity for practice and demonstration of new learning, followed by the reinforcement of new learning as needed.
  • Ensure all Frontline Workers follow the Health and Safety guidelines of the shelter.
ADDITIONAL RESPONSIBILITIES
  • Maintaining a high level of professionalism, respect and gratitude with all staff, donors, volunteers, community partners and visitors.
  • Maintain the confidentiality of all clients, staff, volunteers and agency information
  • Represent the agency in a positive, professional manner at all times both inside and outside of the shelter
  • Maintain and demonstrate appropriate boundaries with guests, staff and volunteers
  • Participate in agency functions/meetings as either a participant or presenter as needed
  • Participate in Community Engagement opportunities and represent Grace Inn Shelter when suitable in relation to the role of Shelter Coordinator.
SOFT SKILLS REQUIRED
  • Strong interpersonal skills to work with a diverse guest group with varying levels of comprehension and language capabilities.
  • Effective listening and observation skills to effectively assess guests and provide appropriate referrals.
  • Strong negotiation and conflict resolution skills to respond or assist in emergency situations.
  • Able to work independently and as an active team player.
MINIMUM EMPLOYMENT QUALIFICATIONS
  • Degree/Diploma in Social Science or Human Services or equivalent experience.
  • Knowledge of addition, mental health, and poverty issues.
  • Effective conflict resolution, problem-solving, and decision-making skills; good judgement.
  • Strong written and verbal communication skills.
  • Promotion of values such as compassion, empathy, patience, and inclusion.
  • Experience in maintaining accurate records.
  • Fluency in English (spoken and written)
  • Must have legal authorization to work in Canada.
  • Minimum 5 years leadership experience in the field of Social Services / Human Services.
  • Demonstrated knowledge of homeless prevention in Canada.
