Accommodations are available during the hiring process, upon request.As an Administrative Assistant, you will provide senior level administrative support to the Director’s Office and Management team. Primary duties include:

  • Manage the Director’s calendar; coordinate meetings and special events.
  • Create reports, reconcile budgets, manage parking passes, provide administrator support for SharePoint Online, and assist with year-end expense reports.
  • Coordinate council reports on the corporate bring forward system and Naming Committee executive reports.
  • Develop and maintain the business unit employee orientation manual and City of Calgary Orientation (COCO) enrolment.
  • Coordinate recruitment requests, schedule interviews, prepare interview guides, and assist with position management requests and other Human Capital Management (HCM) functions.
  • Provide procurement and invoicing support including invoice billing, creating requisitions for consulting funds for management, reconciling TELUS application reports, and providing quarterly updates of product recoveries.
  • Create and maintain filing systems, Integrated Recorded Information Management System (iRIMS) entries and record management.
Qualifications
  • A completed 1 year certificate in a related field and at least 5 years of administrative experience.
  • An intermediate proficiency with Microsoft Office (Word, Outlook, Excel).
  • Previous experience with PeopleSoft Human Capital Management (HCM), Financial Supply Chain Management (FSCM), and Safety Data Management System (SDMS) are considered assets.
  • Excellent communication and customer service skills, a high attention to detail, a strong ability to build and maintain relationships, and the ability to work independently and in a team environment.
