Job Description

Date: Dec 23, 2021Location: Calgary, Alberta, CanadaCompany: Trans MountainThe Trans Mountain Expansion Project will provide increased capacity to support Canadian crude oil production growth and ensure access to global energy markets. The largest project in the pipeline’s history, it involves installing approximately 980 kilometres of new pipeline, as well as new and modified facilities.As a Business Coordinator with Trans Mountain, you’ll have the opportunity to work with a progressive and fast-paced group of business professionals on the Expansion Project. This position is based in our Calgary office. This position will provide direct support on initiatives sponsored by the Executive Leadership Team. Reporting to the Senior Project Coordination Specialist, this opportunity will allow you become part of one of Canada’s most important mega-project. The role requires engagement and interaction with internal subject matter experts (SME) at different leadership levels and external key contacts including the General Construction Contractors and direct support to members of the Executive Leadership Team.Key Responsibilities

  • Support all Expansion Project initiatives including stewardship of monthly internal and external stakeholder leadership meetings.
  • Coordination of multi-functional action item logs, periodic and impromptu reporting, meeting facilitation and stakeholder coordination.
  • Monitor project management and execution activities; documenting and following-up on important deliverables and project decisions as well as ensuring project team adheres to guiding principles.
  • Assist and coordinate with the Expansion Project team with reporting and monitoring progress, as well as leadership initiatives.
  • Support the development of quarterly execution strategy meetings including event planning, guest speaker coordination, preparing presentation material and in-room assistance.
  • File documents within, and maintain organization of, existing SharePoint system for the project management office as well as maintenance of the key documents and records SharePoint site.
  • Provide general administrative support to the project execution team as required.
  • Facilitate and monitor group discussions in a professional manner
  • Responsible to identify and escalate issues to leaders when appropriate
  • Gather information from stakeholders to analyze, organize and synthesize for executive reporting
Qualifications and Professional Experience
  • Undergraduate degree in Business, Communication, Marketing, or similar field.
  • 2+ years of experience in Project Management/Coordination, Business Analyst, Executive Assistant, or similar cross-functional role.
  • 2+ years of experience with major capital project execution in Energy, Construction, Utilities, or similar industries.
  • Proven ability to work directly with senior leadership will be considered an asset
  • Self-motivated individual skilled at managing ambiguity and sensitive information.
  • Strong verbal and written communication skills
  • Ability to adjust priorities and attend requests in a timely manner
  • Strong multi-tasking skills and ability to work with minimal supervision.
  • Self-motivated, quick learner with a “roll up your sleeves” mindset, demonstrated ability to timely deliver on commitments and achieve business results.
  • High level user of Microsoft Office Suite and related systems, including Excel, Word, Publisher, PowerPoint, Outlook, SharePoint, MS Teams and Visio.
  • Strong organizational and administrative skills.
