Reporting to Andrew McQuiston, Kelly Demo, and Justin Charbonneau, the Associate will be a key resource to the team and will participate in a broad range of administrative and operational projects and tasks to support the efficient and successful operations of the practice.   • Helping to manage office operations (ex: supply management, coordinating with HQ, greeting clients, expense tracking, etc.).
  • Assisting in preparing Advisors and Managers for client meetings, including preparation of account-opening documentation.
  • Organizing and coordinating information, workflow, and other office activities; creating new or improve existing processes and procedures to ensure administrative effectiveness.
  • Completing account processing activities (converting RRSP to RRIF, setting up RRIF payments, estates, beneficiary updates, etc.).
  • Processing a variety of transactions (ex: issuing cheques, deposits, contributions and withdrawals, incoming and outgoing transfers).
  • Committing to rigorous follow-up relating to all client transactions to ensure proper processing and minimization of errors.
  • Acting as a general resource person for clients (ex: printing statements, tax slips).
  • Acting as a general resource person concerning the firm’s products, procedures, and policies; staying up to date on compliance bulletins.
  • Maintaining client files, ensuring that all documentation and notes are compliant with industry regulations.
  • Performing general administrative tasks (ex: prepare letters, client communication pieces, etc.).
  • Preparing daily reports.
  • Ensuring customer service standards/operational procedures are communicated and maintained.
  • Developing strong employee relations and support while staying consistent and maintaining culture and branch rapport.
  • Performing other duties as assigned.
The ideal candidate will possess:
  • Post-secondary education in business administration, accounting, finance, or similar field of study.
  • A minimum of three years’ industry experience, preferably in an administrative or operational capacity.
  • Completion of CSC/CPH would be a strong asset.
  • Registration as an IR or RR with IIROC is a strong asset
  • Strong organizational skills, with the ability to proactively organize and manage a high volume of time-sensitive work with a high level of accuracy and attention to detail.
  • Demonstrated ability to adapt quickly to changing needs and work requirements; stay up to date on all processes and procedures.
  • Demonstrated exceptional work ethic with the ability to manage multiple, competing priorities.
  • Proven ability to independently identify problems and make suggestions for improvement.
  • Team and client-first attitude, with a commitment to providing extraordinary service to high-net-worth clients.
  • A high level of proficiency in Microsoft Office tools; experience with financial tools would be an asset.
