Job Description

We made air travel more affordable for Canadians and now were going global.Join us and love where you’re going.The Coordinator Line Maintenance Calgary will act as the point of contact for all Calgary WestJet Technical Operations personnel regarding things such as payroll, invoicing, scheduling, travel booking and other administrative matters.

  • Complete travel reservations for Tech Ops employees traveling on WestJet business as well as coordinating per diems and other possible travel expenses.
  • Assist the Tech Ops Workforce Coordinator with compiling and submitting payroll for WestJet Tech Ops employees including daily entries in our employee timekeeping system, answering employee questions and auditing of schedules against the timekeeping system.
  • Responsible for building the monthly/yearly WestJet Tech Ops Line Maintenance schedules. This includes issuing the following years’ schedule for the vacation bidding process.
  • Responsible for managing the manpower schedules and coordinating WestJet Tech Ops Technical Training in conjunction with the Technical Training team, assigning training shifts to ensure compliance with Transport Canada guidelines.
  • Possible auditing/monitoring shifts according to operational activity to ensure adequate manpower allocation.
  • Coordinate new hire packages and onboarding of all new Tech Ops employees.
  • Responsible for coordinating various expense claims.
  • Coordinate business unit expenses, POs and invoices.
  • Order, track and maintain adequate office supplies for the WestJet Tech Ops department.
  • Compile statistics, create peer review surveys, and communications for the WestJet Tech Ops department.
  • Provide relief coverage for other Tech Ops Coordinators.
  • Coordinate recognition, administration, and some event planning.
  • Liaise with People, Real Estate, IT and other support departments to address proficiency gaps, manage information and track SLAs.
  • Possible limited travel.
  • Assist the Lead Coordinator with other duties as required to ensure efficient office administration in the WestJet Tech Ops Department.
Qualifications:
  • Office Management Diploma or minimum 2 years administrative experience including: experience with word processing, filing, record management, handling mail, telephone management, appointment scheduling, minute taking and time management is required.
  • Intermediate skills in all MS Office applications is required (Excel, Outlook, Teams, Word).
  • Excellent planning, coordination and organization ability achieved through flexibility and time management
  • Required to handle multiple projects simultaneously, with a sense of urgency and strong attention to detail.
  • Ability to work with minimal supervision and take responsibility for accomplishing tasks within set timelines.
  • Demonstrated ability to work within a team environment and independently.
  • Basic budget and accounting knowledge.
  • Knowledge of all office equipment (photocopier, scanner, etc.).
  • Sabre or similar software knowledge or experience is an asset.
  • JDE or similar ERP Software system experience is an asset.
  • High level knowledge of resource scheduling guidelines and practices.
  • Ability to handle pressure and meet strict deadlines.
  • Excellent communication skills and the ability to communicate in a clear, accurate, concise and professional manner.
  • High degree of motivation and commitment to work in a fast paced, changing environment.
  • Able to take a proactive approach to identify problems and offer solutions.
  • Demonstrated ability to handle confidential information.
