Job Description

Our Medical Office Administrators are an important part of our team who provide outstanding administrative support to patients, co-workers and physicians. They assist an interdisciplinary team with office maintenance and cleanliness. MOAs provide administrative support and coordinate clinic activity to ensure the efficient, professional and organized operation of the clinic office. MOAs are pivotal to ensure optimal patient care through friendly, enthusiastic and professional service with doctors, patients and other team members. We are a small team and work closely together but expect independent staff members who are motivated and conscientious in their role to strive for improved patient care and clinic operation.Specific Tasks:

  • Answer telephone calls, greet patients and visitors upon arrival, and address any questions or concerns encountered.
  • Booking new patient appointments and orientating them to the process of their first appointment
  • Coordinate detailed and accurate intake of patient information on their first visit to the clinic as well as confirming any changes on subsequent visits.
  • Register new patients upon arrival to the clinic using the accepted standards of the clinic (i.e. COVID screening).
  • Directing patients into exam rooms and preparing the room for the visit with their doctor.
  • Support patients in filling medical forms or questionnaires at the clinic to avoid errors and inaccurate information.
  • Using electronic medical record (EMR) to coordinate the scheduling of future appointments for patients with all providers.
  • Collecting payment at time of service and follow up on outstanding payments.
  • Completing accurate clinic billing and following up on accounts receivable.
  • Tidying up rooms, stocking supplies as required in the exam rooms.
  • Coordinating patient referrals by contacting specialists offices as required.
  • Other duties and administrative tasks as assigned by the physicians.
Skills required:
  • Excellent communication and interpersonal skills
  • Ability to exercise good judgement and be resourceful in problem solving
  • Have strong organizational skills
  • Ability to investigate, understand and resolve issues
  • Be “cool, calm and collected” in high pressure situations
  • Adaptable with clinic operations, and willing to continuously learn
  • Be a self-starter with ability to work independently and collaboratively in a team environment
  • Strong computer skills with Electronic Medical record experience ideal (current system in clinic is Telus/Wolf EMR)
  • Previous experience in customer service required
  • Experience in a medical office is an asset
