Job Description

ONE Properties (ONE) is seeking a Regional Manager to join the vibrant, fast-paced property management team in Calgary, AB.ONE is a fully integrated real estate company, creating value through activities spanning acquisition, development, property management and asset management. Visit www.oneproperties.com to learn more about our company.The OpportunityReporting to the Director of Property Management, Residential, the Regional Manager, will be responsible for the overall performance of each of the properties in their portfolio and their achievement of the Owner’s goals and objectives.AccountabilitiesOperations

  • Prepare annual operating plans for each property, working in collaboration with the VP, Marketing to incorporate a specific Marketing Plan for each.
  • Prepare annual operating budgets and long-range capital budgets for each property for submission to ownership for approval.
  • Review monthly operating statements to evaluate property performance against the established budget to ensure revenues are maximized and expenses stay within budget, and direct corrective action at the property level if warranted.
  • Work with the Technical Services team to identify, tender and award and oversee the successful completion of major and capital projects at the properties.
  • Coordinate and negotiate with contractors and suppliers, including bulk purchasing for the region.
  • Oversee major property contracts ensuring performance and completion of work.
  • Submits Capex requests for approval, overseeing work and ensuring warranties, statutory declarations, and other documentation is received upon completion of the work.
  • Conduct scheduled and impromptu inspections of the Property, visiting each property weekly.
  • Monitor vacancy and traffic reports, as well as accounts receivable on a weekly basis, and take follow up action with the Property Manager and/or Leasing Manager if required.
  • Conduct monthly vacant suite inspections.
  • Work with the Property Manager to manage and mitigate risk, reviews all incident reports and recommends when to file a claim.
  • In the event of a loss, act as the point of contact with the claims adjuster and/or insurer and manage the claim.
  • Lead role should there be a catastrophic event at the Property.
  • Ensure operations records, files and documentation are maintained accurately and timely and in accordance with established procedures.
  • Liaise with the Accounting team to ensure accurate accounting and proper procedures are always in practice .
  • Liaise with retail and office management on mixed-use properties to ensure operations and budgetary items are both covered and allocated correctly.
  • Other duties as required and assigned by the Director of Property Management, Residential.
Customer Service
  • Practice excellent internal and external customer service through working with corporate team leads to ensure the property staff have the resources to complete their responsibilities in a timely and professional manner.
  • Employ excellent customer service and conflict resolution strategies with both employees and residents, as required, including communications escalated from the property level.
  • Monitor resident touchpoint follow up and feedback, taking staff performance management action if warranted.
  • Review customer service surveys and the follow up action taken by staff, making further recommendations if necessary.
  • Monitor staff pulse-point performance management, making further recommendations if necessary.
  • Oversee community communications, ensuring professionalism and consistency in messaging.
  • Participate in community events, as appropriate.
Administration and Reporting
  • Monitor lease renewal metrics and approve deviations to renewal rates.
  • Compile monthly reporting packages on each property for submission to senior management and Ownership, including but not limited to:
    • Overview Property Report.
    • Marketing Report.
    • Budget Variance Report.
    • Accounts Receivable Report
    • Capital Expenditure and Major Projects Report.
    • Customer Service Survey Findings.
  • Approve for purchasing of supplies and services within company policy parameters.
  • Approve invoices for payment in concert with company policy.
Human Resources
  • Motivate, coach and supervise staff using pulse-point performance management.
  • Oversee and assist in training of direct reports.
  • Ensure all teams are appropriately staffed and trained.
  • Schedule and facilitate regularly scheduled staff informational and feedback meetings.

Qualifications
  • High school diploma supplemented with related post-secondary education, hospitality and/or customer service education preferred. Thorough understanding of the Alberta Residential Tenancies Act, Ministerial Regulations and related legislation. CPM® and/or ARM® or working toward these designations preferred. Licensed Real Estate Associate in the Province of Alberta an asset.
  • Minimum 5 years’ experience in the residential property management industry and management level experience in the hospitality industry experience preferred.
  • Proficient in a variety of computer software packages including Microsoft Office, with preference given to Yardi experience.
  • Strong knowledge of residential development trends, market research and business principles.
  • Well connected in residential sales and marketing industry.
  • A criminal verification check is required for Candidates must be bondable.
