We recognize our responsibility as Canada #39;s largest arts training organization and one of its oldest, to address anti-Black racism, reconciliation with Indigenous peoples and systemic oppression in Canadian society.Your Role:As a Registration Associate, you will play a crucial role in our Registrar team. You’ll be the go-to expert for our registration software and education management systems, focusing on our Recreational Programs. Your mission will be to deliver top-notch registration services and build meaningful relationships with our clients and colleagues. This role is where your creativity and problem-solving skills will shine as you help us navigate and optimize our registration processes.Key Responsibilities:

  • Build large-scale registration solutions using the NBS registration software (currently SmartRec), working closely with partner departments to ensure that all program information, schedules, fees, payment plans, policies, questions, etc. are accurate, up-to-date, and consistent.
  • Coordinate all registration processes in SmartRec—including registrations, withdrawals, refunds, troubleshooting, etc.—and interact with program participants and administrators to provide exceptional customer service online, over the phone, and in person.
  • Be a resident expert on registration software and education management systems, building collaborative relationships across many departments to understand new and evolving software functions, and how they affect our staff and customers.
  • As the power user of the school’s education management system (“MySchoolApp”), maintain a deep understanding of the platform and leverage that knowledge to assist other staff and support advanced processes. Specific tasks and responsibilities include:
  • Proactively pursue training and professional development opportunities to maintain a comprehensive understanding of NBS’ education management solution, MySchoolApp (which includes Blackbaud Enrollment Management System, Blackbaud Learning Management System and Blackbaud Student Information System)
  • Act as the initial point of contact for support requests related to MySchoolApp, and escalate issues to colleagues in IT, as required
  • Acting as the MySchoolApp specialist, collaborate with colleagues in IT and other Blackbaud-specific users to implement and maintain access rules and procedures, ensuring data integrity and security
  • Maintain general knowledge of NBS programs, policies and activities and specific/expert knowledge of those related to the Registrar #39;s Office.
  • Act as Registrar #39;s representative for the National Audition Tour, including coordinating audition registrations.
  • All other duties as required or assigned.

  • Strong interpersonal skills, with a talent for communication and teamwork
  • Experience with registration software and education management solutions (e.g. Amilia, SmartRec, Blackbaud K-12 School Management)
  • Experience working with relational databases including data entry, data management, running queries and generating reports
  • Familiarity with creating online forms and handling captured data
  • A degree or diploma in business, office practices, or a related field, or 2-3 years of relevant experience
  • Proficiency in Microsoft Office, especially Word and Excel
  • Excellent time management, organizational, and proofreading skills
