We’ll trust you to work independently, and to manage critical, confidential information as you work with legal and financial documents.You’ll also partner with our Management Team, office managers, and a Canada-wide shared services team, supporting SLR’s documentation needs across all our offices and help drive the consistency and quality of SLR deliverables.Your biggest assets in this role will be your excellent communication skills, a proactive attitude towards new challenges, strong computer skills, and your ability to build strong relationships as you work with everyone from entry-level to management. You’ll enjoy a flexible and dynamic work environment with an engaged team of fellow professionals.Key ResponsibilitiesSpecific responsibilities will include:Assist with coordinating meeting logistics for internal office meetings (A/V, food, and beverage, etc.), including meeting room booking assistance, setup, and cleanup; and taking meeting minutes where needed. Assist in travel booking. Assist with sample packing, shipping, and setting up couriers. Assist with monitoring and maintaining office and workstation equipment / accessories Subcontractor invoice processing and tracking of late invoices. Fill reception duties as needed – we don’t have many walk-ins, but you’ll be the face of the office when we do. On-boarding and training of new staff on office-specific and company-wide policies and procedures. Supporting the office health and safety coordinator with regular inspections, reviewing subcontractor submissions, and communicating Health and Safety updates to staff. Assist the Regional Health and Safety Manager with administrative related tasks. This would include but not limited to updating Health and Safety information on SLR internal portal, compile data from various systems for reporting purposes, coordinate the purchase of health and safety equipment and supplies, managing the launch of training packages and ensuring records are maintained, and assist with the new employee system setup. Providing administrative support to Project managers and office team. Assist in proposal preparation, including finalizing, printing, collating documents, and delivery to client. Support project delivery efforts through documentation set-up, style guide compliance, and final formatting and electronic compilation. Assisting project managers in the execution of day-to-day project tasks including possible report compilation, budget tracking, processing vendor invoices, information/data management, and ensuring compliance with SLR policies and procedures. Assist in project and proposal database setup. Other administrative duties as required. Responding to internal requests related to project documents, reports, and proposals. E-publishing documents, reports, and proposals. Coordinating and helping to prepare bookmarked and hyperlinked PDFs. Cultural fit and shared vision are very important to SLR. Consideration may be given to candidates with less than one year employment experience that have otherwise demonstrated sufficient educational background or training certification to meet the challenges of the role. Excellent organizational and time management skills. Proven experience in working independently, with minimal supervision. Experience with Project Management databases (i.e., Deltek VantagePoint. Advanced computer skills in Microsoft Word (template creation, master documents, mail merge), Excel (formulas, tables, formatting), SharePoint (file management, collaborative working, version control), PowerPoint (slide masters, multimedia) and Outlook. Experience working in the environmental services industry is an asset. Post-secondary education in office administration or similar experience.
