Job Description

Department: Operations Reports to: Whsitler Experience Manager Direct Reports: None Position Status: FT 5 month contractLocations: WhistlerMonthly Salary: $4167 - $4584About Invictus Games 2025: The Invictus Games is a biennial international adaptive sporting competition for wounded, injured, and sick service personnel and veterans from around the world. Through the power of sport, the Games inspire recovery, support rehabilitation, and generate a wider understanding and respect for those who have served their country.The Invictus Games Vancouver Whistler 2025 will take place from February 8 to 16, 2025, on the traditional territories of the Lil̓wat7úl (Líl̓wat), xʷməθkʷəy̓əm (Musqueam), Sḵwx̱wú7mesh (Squamish) and səlilwətaɬ (Tsleil-Waututh) Nations. Over 500 wounded, injured and sick service personnel and Veterans from more than 20 nations are set to compete in a wide range of adaptive sports, including adaptive winter sports, for the first time in Invictus Games history.The Vancouver Whistler Games Corporation (VWGC) is a Canadian not-for-profit organization established to organize and host the Invictus Games Vancouver Whistler 2025.The Role As the Whistler Experience Coordinator, you will be assisting with the development and implementation of the Familyamp; Friends program in Whistler. During the Invictus Games 2025, you will oversee and coordinate the Familyamp; Friends programs as well as the various functional area operations based in the Whistler Conference Centre (WCC). This position demands a blend of leadership, effective communication, and a comprehensive understanding of multi-event Games operations. The ideal candidate will demonstrate proficiency in leading a team and fostering collaborative relationships with key stakeholders.Key Areas of Responsibility:

  • Integrate with other Functional Areas, primarily Foodamp; Beverage and Transport to execute an exceptional experience for all customer groups.
  • Assist with the final planning and implementation of the Familyamp; Friends Program for the Invictus Games 2025 under the direction of the Whistler Experience Manager.
  • Manage project resources to deliver outcomes in line with milestones and timeframes.
  • Communicate updates to stakeholders as required.
  • Support with the logistics for the Familyamp; Friends program and other related events.
  • Assist with the execution of Games operations at Whistler Conference Centre.
  • Assist with the integration of FA’s operational plans, and the coordination and delivery of venue team meetings and venue staff training.
  • Support in the development, implementation, and testing of venue documentation including venue operations plan, daily run sheets, policies, procedures, and contingency plans.
  • Assist with the development and management of venue delivery timelines in collaboration with functional areas.
  • Facilitate clear communication channels within the venue delivery team to ensure timely information sharing.
  • Proactively identify and resolve emerging issues across functional areas and external stakeholders.
  • Provide support, direction, and management to the venue team, adhering to pre-agreed operating principles.
  • Leverage venue workforce and foster a sense of community within the Games delivery team, prioritizing team cohesion.
  • Emphasize operational health and safety on venue.
  • Undertake any other operational delivery tasks essential for the project #39;s success.
Qualifications, Skills, Competencies:
  • Demonstrated experience working in large community family-focused events, customer service and/or conference management.
  • Strong organizational and project management skills with the ability to manage multiple tasks simultaneously.
  • Experience working with volunteers and managing a team during event execution.
  • Excellent communication skills, both written and verbal
  • Supports and encourages performance by motivating individuals and teams to achieve high performance.
  • Previous experience in venue management or operational management, preferably in a large-scale public facility.
  • Excellent computer skills across the Microsoft suite of programs.
  • Experience with Project Management tools such as Smartsheet is an asset
  • Familiarity with crowd management and venue safety protocols.
  • An ability to adapt to the developing needs and changing demands of a high pressure and high-profile project handling multiple tasks and deadlines continually.
  • Ability to make difficult decisions and solve problems under pressure in accordance with Games Operation’s procedures, policies, and contingency plans.
  • Team player with a collaborative mindset, able to work across departments to achieve common goals.
  • Detail-oriented with a commitment to maintaining high operational standards.
  • Familiarity with the Invictus Games Movement and its principles is an asset.
