Role Summary:The Site Administrator performs all general and specific administrative functions required by site. This position also assists site or project managers as required.Primary Responsibilities:
  • Performing day-to-day administrative tasks, such as maintaining information files and processing paperwork
  • Preparing invoices, purchase orders, etc.
  • Compile and enter employee time, production, and LEM data from Supervisors daily sheets, reports, and other records
  • Compile and enter new employee and equipment information and costs
  • Coordinate shift schedules for team members
  • Coordinate travel and camp for team members
  • Coordination of on-site activities with head office
  • Assist Project Manager and Superintendent as required
  • Contemplated Change Notices/ Change Orders and Requests for Information, reviewing and distributing documentation, preparation of correspondence and meeting minutes, maintenance of files, logs, drawing and specifications
  • Maintaining and tracking all contract correspondence, meeting minutes and managing office supplies and equipment
  • Performing payroll tasks and managing the project accounting database
  • Daily timesheet entry and preparation of reports
  • Assisting the Project Manager in maintaining up-to-date and accurate records in tracking
  • Duties are not limited to the job posting description, other duties may be required depending on the requirements of the contract.
  • Procurement of Material/Subcontractors Services and billing to client for reimbursements.
Education & Experience:
  • Minimum 2 years site experience
  • Certificate in Office Administration, Accounting, or Finance Program is preferred
  • Experience in construction or oil & gas environment would be an asset
  • Intermediate to advanced experience with Excel
  • Proficiency with MS Teams, Word, PowerPoint
