Job Description

LaPrairie Crane, a member of LaPrairie Group of Companies, is one of Canada’s largest independent mobile-crane companies with fleet capabilities ranging from 5 – 600 tons, including all terrain, boom truck, carry deck, crawler, hydraulic truck, rough terrain, and tower cranes.LaPrairie Crane is currently looking for a full-time Facility Administrator (Quotes & Billing) to join its team in Fort McMurray, Alberta. This is a fixed-term 18-month position supporting maternity leave coverage.The ideal candidate is enthusiastic, organized, adaptable and enjoys working in a fast-paced and multi-tasking environment.*Job Summary*:Prepares accurate quotes for pricing and builds estimates for Crane operation by gathering information material and job costing under the direction of our Regional Manager / Review of Time entries from Crane Operators /Mechanics/Labourers.*Responsibilities*Quotes/Billing

  • Assist in dispatching jobs under the direction of Regional Manager.
  • Creating quotes for crane services in the Wood Buffalo region and our branch locations – AB/SK
  • Provide pricing & quote accuracy information to customers and request of purchase orders
  • Creating job numbers for Crane Operators/Managers
  • Approval of Billing under the direction of Regional Manager- through weekly conference calls
  • Sending Priced Field Orders to Customers for signature verification
  • Submit priced field Orders to the accounting department for invoicing
  • Daily review / processing and electronic filing of data
  • Perform Intercompany recharges for mechanical work done on third party equipment.
  • Attend conference meetings for AM Review of bi-weekly billing
  • Maintain Customer relations
  • Create and maintain Excel spreadsheet for cost estimates for Cranes
  • Produce monthly crane rentals/bare rentals/Crane mat rentals reports
Time keeping
  • Reviews total hours worked by employees submitted on a daily – checking for accuracy and punctuality
  • Assists processing of personnel documentation for new hires
  • Reviews with regional manager for approval and sends to Payroll for processing- weekly basis.
  • New hire information collection and transmittal to Human Resources Department
  • Updating and maintaining personnel files
Other
  • Administration duties, including handling phone calls, mail, filing, organizing office supplies
  • Prepare and complete packages for delivery outbound or inbound shipments – load/pack/wrap/label/ship
  • Responsible for any other work projects or tasks directed by Managers or other authorized personnel
*Required Skills*
  • Office Administration Diploma, or equivalent, is a definite asset
  • Mid-level administrative experience is an asset, but training will be provided to a recently graduated and qualified candidate
  • Intermediate or advanced knowledge of Microsoft Outlook, Word, Excel and Access
  • Previous experience working with in-house, business system programs or accounting are assets
  • Timely and accurate data entry
  • Strong working knowledge of Maximo Software for CNRL shutdown would be an asset
  • Superior written and verbal communication skills
  • Excellent organization and time-management capabilities
  • Maturity and discretion when dealing with confidential information and sensitive inquiries
  • Ability to adapt quickly to changing business needs of busy office environment
  • Accounts receivable and Accounts payable-strongly preferred
  • An enthusiastic, positive outlook and willingness to learn
