Job Description

Ballad GroupBallad Group is seeking to hire a Program Coordinator in High Level who is passionate about teaching, connecting, and changing the lives DTFN members who pass through the Work Employment Readiness and Connections Program. We know that’s a mouth full, so you can call it the WERC program - pronounced "work". We invite those who love working as a program coordinator and career counsellor with extraordinary organizational skills to join our team.But who is Ballad Group Well, our training programs have built capacity in diverse areas including entrepreneurship, insurance, information and computer technology, construction, French language acquisition, hospitality, supply chain management, and more. We have delivered unique training programs for a variety of organizations, Indigenous Communities and on behalf of the Ministry of Labour & Immigration and Ministry of Community & Social Services and Employment and Social Development Canada.But what about the WERC program Well, the goal of the WERC program is to develop and administer individually focused direct skill enhancement training and job placement to enable Dene Tha’ First Nation members find and maintain employment.The OpportunityThe Program Coordinator will be the lead role in Ballad’s DTFN WERC program. This key position will be responsible for group and individualized program coordination & planning, career counseling, facilitation and team management. The successful candidate will be expected to lead the day-to-day activities and ensure effective and consistent communication with internal staff and external partners to ensure the success of each program participant.As the internal central resource for the program, the Program Coordinator will utilize excellent judgment to develop credible and meaningful relationships with program participants and collaborate with program team members to ensure program delivery success Excellent communication skills, prioritization, and organization will be a necessity for this role.This position will be in High Level and will work out of Ballad’s High Level Training Centre.This position works closely with and reports to the Ballad Manager of Training.Key ResponsibilitiesProgram Development:

  • Collaborate with program team members to develop new program material for classroom instruction
  • Ensure all instructional all materials and activities are relevant and align with WERC and industry standards
  • Assess individual needs of potential participants, and lead participant intake
  • Assess, recruit, and lead the intake process for qualified program participants
Program Delivery:
  • Lead the customization of WERC workshops for in-class and on-site work simulation
  • Facilitate all WERC workshops in partnership with other team members.
  • Prepare and submit applications and reports on time and as required
  • Generate, foster, and maintain professional contacts within the High Level community with the focus on recruitment, job placement and participant success
  • Professionally liaise with internal staff & external clients
  • Creatively find solutions to ensure participant success
Program Reporting:
  • Prepare and submit required program reports to the Manager, Training
  • Follow Ballad’s internal reporting standards by keeping all student records and progress updated in Monday.com
Business Development
  • Positively represent the program to Ballad staff and sector stakeholders
  • Promote program activities internally and externally through positive communication
  • Actively seek out positive solutions to solve challenges amongst staff, participants, and partners.
  • Actively seek out external events to support recruitment, work experience and job placement opportunities
Support Work
  • Service orientation and scheduling of appointments
  • Workshop facilitation and delivery
  • Connecting students with employers for various employment experiences and job placements
  • Active service management of clients to ensure success
  • Administration including maintenance of participant files, data entry, responding to incoming inquiries, preparation of materials
  • Other duties that may arise from time to time and as may be assigned
ExperienceThe position requires the following skills, experiences and abilities:A professional with proven experience collaborating with unemployed individuals and groups, building and maintaining relationships with staff and external community members, and recruiting participants from High Level and area.
  • Relevant post-secondary diploma or degree
  • 3 to 5 years’ experience working in program coordination in education, non-profit or relevant industry.
  • Prior experience in placement and/or building customer relationships is preferred (an equivalent combination of education and professional experience will be considered)
  • Prior experience in having direct reports and leading them to success
  • Experience with facilitation of small-to-medium groups
  • Experience with pre-employment strategies and knowledge of the local labour market are considered assets
  • Highly engaged with the DTFN community and High Level Community will be considered an asset but not required
  • Public speaking or group facilitation within a formal environment or on the job required.
  • Proven intermediate skill level in Microsoft Office and online database tools (Word, Outlook, PowerPoint, Excel)
  • Proven intermediate skill level working in online database tools
  • Exemplary verbal and written communication skills
  • A genuine desire to build relationships with various population groups, employers, and internal/external stakeholders
  • Able to take initiative and be resourceful in seeking out potential participants
  • Highly professional, driven, charismatic, reliable, and confident individual who thrives under pressure
  • Exposure to diversity and inclusion programs is an asset
  • Ability to work independently while on a team is required
