Job Description

The events division of Glacier Farmmedia is seeking a highly organized individual with a background in administration and customer service, to join our team as Operations & Events Administrator. This position based in the Langham, Discovery Farm office will oversee and ensure smooth and efficient daily operations for Discovery Farm Langham including Ag in Motion.The primary role will be providing administrative and business support to the operations team. The candidate must also be able and willing support on site operations that may include physical tasks.Core Responsibilities include, but not limited to:

  • Provide administrative support to the Operations & Events Lead and Coordinator as needed
  • Answering phones and responding to client requests and inquiries
  • Managing and updating databases
  • Keeping track of inventory and ordering supplies
  • Maintaining the operations financial, employee, and client records
  • Supporting the maintenance of office and facility equipment
  • Communicate rules/parameters, safety policies, emergency plans, rates & rental details with event clients
  • Assist event clients with logistics which include catering, audio visual, event rentals, accommodations, on-site event support, & other event production elements
  • Ensure event supplies are ordered correctly & delivery schedule is communicated with coordinator
  • Issuing & submitting event statements & invoices in a timely manner
  • Ensure all employee forms and health and safety paperwork is completed, available, filed & submitted correctly
  • Support coordination of staff training as required
  • Handle all shipping, receiving & tracking
  • Coordinate volunteer committees for Ag in Motion
  • Support supplier relations, updating agreements, reviewing invoices
  • Participate in regular meetings to support planning efforts and contribute to overall success of the business
Qualifications:
  • Degree in business administration, facility management, or a related field preferred
  • 2+ years experience in an administrative position
  • Event or planning experience preferred
  • Proficiency in Microsoft Office, specifically Word, Excel, and Outlook
  • Valid driver’s licence
  • Flexible and willing to work outside of regular business hours during events and peak show season
  • Excellent written and verbal communication skills
  • Able to work well individually and in a group
  • Dialed into the agriculture landscape is an asset
  • Safety footwear required for on site work
