Job Description

Payroll Administrator(1 Position Available) Term of Employment:Part-time, Term (Approximately five months)Rate of Pay:Out-of-Scope, Band 1Current Location:Employee Relations, Second Floor RCMP DetachmentPosition Summary:Reporting to the Supervisor, Payroll, the Payroll Administrator is responsible for the processing and balancing of payroll entries as well as for responding to employee questions regarding payroll and processing.Specific Responsibilities include:Payroll

  • Process and administer the City’s bi-weekly payroll for all salaried and hourly employees.
  • Extracts timesheets and reviews entries for completeness and accuracy.
  • Administers all payroll duties, including processing new hires, terminations, severance payments, Record of Employment, Cost of Living and annual salary increases.
  • Ensures payroll records and procedures are in place and adhered to.
  • Ensures adherence to the requirements of the Collective Agreement and Alberta or Saskatchewan Employment Standards Act.
  • Updates employment information and necessary entries.
  • Assists with the preparation of T4’s, WCB and other year-end reporting.
  • Works in conjunction with management to provide employees with direction regarding the tracking of time and submitting time entries.
  • Creates and analyzes system generated reports; resolves any errors or discrepancies.
  • Takes incoming calls, assists staff with Payroll related inquiries.
Administration
  • Completes administrative functions such as: data entry, copying, scanning and filing; maintains necessary enclosures in employee personnel files.
  • Files and scans all payroll related documentation
  • Ensures accuracy of documents are maintained (TD1, Payroll forms, etc.).
Other
  • Provides exceptional customer service to employees and visitors.
  • Provides administrative support to staff during periods of absences.
  • Other related duties as required.
Qualifications:
  • Post-secondary Certificate or Diploma in Accounting and Payroll Administration, Business Administration or a related field combined with a minimum of three year’s related payroll processing experience.
  • Completion of a PCP Certification would be considered an asset.
  • Knowledge of payroll accounting and account reconciliation.
  • Demonstrated knowledge of payroll processing procedures.
  • Strong computer skills including areas in Microsoft Suite such as Microsoft Outlook, Wordand Excel are essential.
  • Ability to maintain a high degree of ethics, discretion and confidentiality.
  • Strong organizational, oral and written communication skills.
  • Proven ability to maintain high levels of confidentiality, manage high volumes of work and meet strict deadlines.
  • Ability to work independently and accurately, with a strong attention to detail.
  • Well organized, accurate and detail oriented, with an ability to prioritize workflows and meet deadlines.
  • Excellent interpersonal skills that contribute to working effectively in a diverse working environment.
  • A valid Class 5 Driver’s License registered in Alberta or Saskatchewan with an acceptable Driver’s Abstract is required.This position may be required to operate a personal or municipal vehicle for business purposes.
