Should you require any support or accommodation during the recruitment process or otherwise, please notify us when you apply and we will work to meet your accessibility needs.Administrative AssistantThe Administrative Assistant will provide administrative support that includes maintaining records and files, ensuring appropriate levels of supplies, preparing correspondence, and general data processing.Key ResponsibilitiesArea 1:Provide administrative support to a function or department.

  • Handle routine and straightforward administrative duties such as data entry, filing and preparing communication.
  • Prepare presentations, spreadsheets and other materials to aid the department in decision making.
  • Prepare meeting agendas, follow up on action items, and coordinate communication materials within the department.
  • Coordination of events, including preparing the meeting space, ordering food, tidying the room, preparing handouts and materials and coordinating travel arrangements as needed .
  • Respond to employees’ questions and inquiries related to administrative matters and if needed, escalate requests to other administrative staff.
  • Provide back up administrative support to other departments, and be thoroughly versed in the administrative processes for at least one other department.
  • Provide relief for receptionist as required.
  • Maintain office filing systems including generating labels, archiving and retrieving files.
  • May order office supplies and maintain inventory levels.
Area 2:Provide basic level customer support.
  • Act as an ambassador for the team, including greeting guests and handling basic inquiries.
  • Demonstrate exceptional organizational skills and ability to respond to multiple and often competing priorities.
  • Prepare, book, follow-up and verify employee travel arrangements.
  • Other duties as required.
Area 3:Serve as the primary point of initial contact for internal and external constituencies on all matters pertaining to the Manager.
  • Manage incoming and outgoing electronic communications on behalf of the Manager.
  • Responds to or re-direct phone calls and emails.
  • Review incoming and outgoing correspondence and materials directed to the Manager, and bring significant items to their attention.
  • Interact with both internal and external executives, assistants, and consultants, to coordinate a variety of executive meetings.
Qualifications*Minimum Requirements and Nice To Haves*minimum qualifications, formal education, certifications or equivalents
  • High school diploma with related post-secondary training and/or advanced business and management courses.
Work experience - Nature & Length
  • A minimum of 2-5 years of related work experience.
Additional qualifications - Competency requirements
  • Computer literate and proficient in word processing, data entry, spreadsheets and PC based presentation graphics.
  • Effective communication skills, verbal and written.
  • Proven ability to balance several tasks simultaneously and excellent organizational skills.
  • Ability to work with others in a team environment.
  • Flexibility to undertake a variety of assignments.
  • Pleasant and courteous in interpersonal interactions.
  • Knowledge of basic office functions, i.e., office machines, telephone systems, copier, fax, binding machines.
  • Fluency in English; French would be an asset.
  • Highly motivated and independently driven with a sense of urgency.
