Kotowan Administrative AssistantTerm /part time PositionPosting # 21-26Position Summary: Under the supervision and directly reporting to the Kotowan Program Manager, the Administrative Support is responsible for administrative duties as outlined herein:Primary Duties: 1. Type, photocopy and fax documentation for Child and Family Services (CFS) staff, and Health program staff as required.2. Maintain filing systems and conduct electronic file searches, as required, by CFS staff.3. Accurately enter, update, edit and retrieve information from the CFS Automated Client Index database.4. Maintain spreadsheets relating to CFS intakes, Court Notices and monthly statistics.5. Maintain a mail processing tracking system.6. Specific administrative and technical support to the CFS Program Manager, Supervisors, CFS Community workers and Health staff, as required.7. Prepare for meeting logistics for regular or specially convened meetings8. Prepare and distribute notices and agendas for these meetings and, when required, record and transcribe minutes.9. Record bookings for boardrooms and set up hospitality as required.10. Maintain contact lists for distribution to staff and other agencies.11. Maintain inventory on CFS equipment and supplies (Emergency bags, Field Kits, etc.)Miscellaneous: 1. Maintain a high degree of confidentiality in relation to CFS and Health information.2. Undertake professional development as the need arises and/or identified.3. Coverage of switchboard for Receptionist on designated days.4. Other duties, as assigned.Qualifications: · Possess a certificate/diploma from an accredited recognized business course with a minimum of three (3) year experience in a related position.· Knowledge of Child and Family Services policies and procedures is an asset.· Ability to follow through on instructions and requests independently with limited supervision, and follow-up in a timely fashion.· Ability to exercise a high degree of initiative, independence and responsibility.· Skilled in the use of Microsoft Office Suite, DOS to Windows and the operation of a variety of office equipment.· Possess excellent communication skills both written and verbal.· Must possess a valid drivers license (Class 5)To apply, please submit your resume and cover letter detailing your qualifications along with three (3) references by November 8,2021 at 4:30 PM.
