We are seeking a dynamic, committed professional to join our team:Board Services AssistantRegular, 100%, 12 month work yearCorporate Services, 133 Greenbank(temporarily working remotely)Under the direction of the Manager, Board Services, the Board Services Assistant provides direct confidential and administrative support to the Board of Trustees and the Board Services and Corporate Records teams. The Board Services Assistant responds to inquiring (emails, phone), drafts and initiates correspondence and reports; establishes and maintains a system for organizing and filing Board reports, and other confidential and/or sensitive information; supports the secure handling, distribution and filing of restricted and sensitive material; researches and compiles information; maintains budget transaction and records, including requisitions and on-line purchase orders; and serves as a frontline contact for trustee and District personnel.Required Skills and Abilities:Proficiency in software applications including Word, Excel, Adobe and Google applications platforms, Email, Docs, Sheets, Calendar, Forms etc.Writing skills to initiate and draft correspondence/reports that are clear, concise and accurate.Knowledge of relevant Board policies, procedures, protocol, corporate financial practices to track trustee expenses and accounts, Board’s organizational structure.Excellent interpersonal and communication skills to effectively respond to inquiries, provide customer support. Tact, diplomacy and discretion is required, especially in dealing with delicate, restricted or highly confidential matters.Excellent organization and time management skills required for prioritizing work and managing multiple tasks and conflicting priorities;Initiative and judgment skills as well as ability to conduct research upon request.Must be able to work independently and with minimum of supervision;Ability to work as part of a team.These skills are normally acquired through completion of a Community College Diploma in Office Administration and minimum of 2-3 years relevant experience in an office environment; or an equivalent combination of education and experience.Applications will beconsidered in accordance with the Union Exempt Employee Handbook.How to Apply:The Ottawa-Carleton District School Board uses Apply to Education (ATE) to manage job applications for all competitions.
