Grounded by our sense of purpose, we offer a meaningful, friendly and dynamic work environment.As a senior member of the Facilities and Campus Planning Department, you will be instrumental in providing leadership and supervision of the administrative support staff within the department. You will be responsible for the ongoing review, planning, development, implementation, and monitoring of systems, processes, procedures, and services to provide a regulatory compliant, customer focused and effective office environment. We are looking for someone to help us continue to build on our customer focused services and ensure a positive experience for our internal and external stakeholders. Additionally, you will have leadership skills and ability to resolve challenges quickly while supporting the daily operations of the team.   • Supervises the day-to-day operations of the administrative team, including determining work objectives, assigning, prioritizing, and checking work assignments, training, verifying time sheets, preparing work and vacation schedules, identifying staffing needs, participating in selection committees, and providing input to the Director on probationary and performance reviews.
  • Provide leadership to staff by coaching, guiding, and modeling key behaviors/strategies, encouraging dialogue, and providing guidance and advice to facilitate resolutions to work issues. Mentor team members to define shared and individual goals, meet target dates and ensure alignment of team goals including providing high quality customer focused service.
  • Maintains an in-depth knowledge of the Director’s & Departmental projects, priorities, and objectives. Develops and implements short and long-term objectives, and best practices for the administrative support team to ensure the delivery of effective and efficient services to the Capilano University community. Analyze service levels, policies, processes, and procedures to identify areas for improvement.
  • Track and monitor required submission deadlines for the Ministry, various governmental bodies, licensing, University, etc. such as the Five Year Annual Capital Plan, Carbon Neutral Action Report, Report to Board of Governors, Boiler & Pressure Vessel Licensing. Ensure the coordination and submission of the reports prior to deadlines.
  • Ensures the tracking, monitoring and reconciliation of departmental budgets, and that Financial Services are involved when required. Coordinates the development and preparation of the annual operating budget and the operational plan materials for the Director, Facilities and Campus Planning.
  • Facilitates communication and arrangements between the director’s office and/or the Department with both internal and external contacts including: faculty, staff, students; ministry and municipal officials; other colleges and universities, international contacts, and community/business organizations.
What you’ll bring
  • Completion of a Bachelor’s degree in business, office administration or other relevant program.
  • Fives years of directly related and progressively senior administrative support experience, including experience in an educational setting and previous supervisory experience.
