Together with our lands, our customs and traditions are the foundations of who we are as Skwxwú7meshABOUT THE OPPORTUNITYReporting to Director of Finance, the Executive Assistant acts as the right hand to the Director of Finance and will manage all incoming and outgoing information from their office. This position is constantly one-step ahead, anticipating needs and keeping the Director of Finance informed. The Executive Assistant will act as a liaison between the Director of Finance and other Directors and community members, bringing information forward diplomatically and adapting to various personality and communication styles with ease. This position will bring value to the department by prioritizing incoming and outgoing messages, scheduling and attending meetings, researching and advising on policies and practices, and acting as communications liaison. This is someone who will be interacting with community members and is therefore passionate about contributing to the greater good of our communities.Typical Duties & Responsibilities:Manages the day-to-day accounting functions for all own source revenue and expenditures ensuring all transactions are accounted for appropriately. Performs secretarial duties for the Director of Finance.Arranges and maintains key stakeholder contact information and correspondence and manages internal and external stakeholder relationships.Supports the Finance & Audit Committee.Manages main office receptionist on a day to day basis.Coordinate administrative follow-ups of the various projects and initiatives within the Finance and IT departments as directed by the Director of Finance.Establishes and updates reporting procedures.Maintains records management to keep track of departmental documentation.Adheres to workplace health and safety policies, safe work practices and procedures.Flexible in availability.Contributes cooperatively to the Squamish Nation Finance team to achieve position and department goals.Education, Level of Experience & Hiring Requirements:Bachelor’s Degree in Business Administration, Finance, Legal Administrative, First Nation Studies or relevant/related field from a recognized post-secondary institution. ORDiploma in a relevant discipline from a recognized post-secondary institution with equivalent experience can be considered. (i.e. Diploma plus 6-7 years related experience, or no degree with approx. 9 years of related experience)3 - 5 years of progressive experience required conducting responsibilities listed above, including: managing internal and external communications, drafting policies, developing information reports, senior level project administration, etc.As career progresses, incumbent will be required to successfully complete job-required, short-term upgrading, training and courses relating to executive support, project management, senior administration, etc., as well as broadening their Squamish Nation culture/language knowledge.Strong writing and analytical skills and experience in producing corporate reports and documentsPrior working experience dealing with the unique cultural and traditional elements of First Nations meetings is an asset.Knowledge of the Squamish Nation, Squamish language (Skwxwú7mesh Snichim), and broader First Nation issues is considered and strongly preferred.Excellent computer skills and strong familiarity with using Microsoft Office; particularly SharePoint, Excel, Word, and PowerPoint.Working experience with a large scale computerized database system.
