Job Description

Classification: Emergency Relief EmployeeRate of pay: $26.43 per hour (+16% in lieu of benefits)Hours of work: 70 hours per pay periodTerm: Up to 60 daysReports to: Executive DirectorWith direction and supervision from the executive director, the office coordinator provides coordination for the clerical activities of the office, and provides support to the executive director, student executives, and resource staff as required. The office coordinator reports to the executive director.Important Note: This posting is to cover an unexpected absence, so it is important to understand that this is a short-term, emergency relief appointment for up to 60 days.DutiesIn particular, the office coordinator performs the following duties:Administrative Support

  • Provides a reception presence for the CSU’s main office.
  • Coordinates the general maintenance of the office, and be the point of contact for repairs.
  • Coordinates inbound and outbound mail, shipments, and deliveries.
  • Coordinates the maintenance of office records, including an office archival system.
  • Assists in the coordination of the privacy & information management program.
  • Assists in the coordination of the health, safety, and emergency preparedness programs.
  • Assists in the coordination of accounts payable and receivable, acting as a key contact for student executives, board members, committee members, and students to make the organization’s pay systems as simple and easy to understand as possible.
  • Maintains an appropriate inventory of office supplies, and coordinate supply orders.
  • Coordinates travel and accommodations for student executives, board members, and staff, including the maintenance of travel profiles and the coordination of payments and expenses.
  • Coordinates support for board, executive, committee, and collective meetings, including space bookings, catering orders, meeting schedules, invitations, and room set-up, and takes minutes for the board, executive, committees, and collectives as required.
Other Duties
  • Works safely, in accordance with the CSU’s health and safety policy.
  • Protects the personal information of coworkers, students, and the public.
  • Performs other duties as directed by the executive director.
Heres what it takes to be successful in this role
  • Given the short-term and emergency relief nature of this appointment, existing knowledge of the Capilano Students Union and our systems would be a tremendous asset.
  • In order to be an effective resource to our membership, our successful candidate must be knowledgeable about campus and student life at Capilano University.
  • There are a lot of moving pieces working in our administration office, and you can expect to deal with a high volume of queries to support students in-person, remotely, and online. This means that our successful candidate must be well-organized, and be able to stay on top of a workflow that includes requests coming from a few different places.
  • Depending on daily schedules, you might be working alone at the administration office with minimal in-person supervision for several hours at a time, or you might be working in pairs or in groups on busier days or for specific projects or assignments. This means that our successful candidate must work effectively independently and in teams.
  • Youll be corresponding verbally and in writing with students, staff, service providers, and community members all the time to share accurate information about the resources and services available through the Capilano Students Union, and so our successful candidate must have excellent verbal and written communication skills.
  • To be able to quickly settle into your role, our successful candidate would have an easier time being successful in this role if they have at least one year of experience coordinating administrative and clerical activities.
