Job ID #348573Project Administrative AssistantOn behalf of our client, Procom Consultants Group is currently looking for a Project Administrative Assistant.Project Administrative Assistant Job Details

  • Planning:
  • Attend internal sessions
  • Stakeholder mapping
  • Pulling together notes, etc.
  • Scheduling consultation sessions - setting up invites for ICBC internal and external resource calendars
  • Scheduling of pre brief and debrief sessions for each consultation meeting
  • Monitor and correspond -consultation inbox
  • Organize key meetings and coordinate meeting content from different key stakeholders, i.e., steering committee meetings, sponsors meetings, working groups meetings
  • Document creation and management for decks, dashboards, project timelines/work plans and project status/sign off documentation with external partners
  • Attend the consultation sessions/key meetings - be in the background, document minutes
  • Assist with onboarding new team members to the program
  • Organize venues for project team social events
Deliverables:
  • Meeting invites
  • Creation/updates to/management of presentations
  • Meeting summaries/minutes
  • Action items lists and outcomes
  • Develop consultation schedules, other schedules as requested
Project Administrative Assistant Mandatory Skills
  • Organized
  • Ability to work in a fast paced environment
  • Excellent communication both written and verbal
  • Ability to summarize information
  • Balance multiple priorities (time management)
  • Proficient in Excel, word, Outlook, Teams (virtual meetings), SharePoint (document management)
  • Calendar management, meeting coordination and set up
